Job Description:

GENERAL STATEMENT OF DUTIES: Assistant Dean of Enrollment for the School of Graduate, Online and Continuing Education provides administrative leadership for the strategic recruitment and retention activities of the division. The Assistant Dean is responsible for understanding the needs of adult and graduate learners and best practices related to the recruitment and retention of this audience. The Assistant Dean is responsible for managing the overall recruitment, outreach, retention and enrollment operations for the division including the deployment of staff, financial and other resources. 

DUTIES & RESPONSIBILITIES:

  • Responsible for developing and leading the strategic enrollment plan for the division and for each program within the division in collaboration with the dean, academic departments, SGOCE team members and other related University departments.
  • Works collaboratively with other offices and individuals to manage all aspects of recruitment for SGOCE credit based programs. Responsible for the strategic planning and facilitation of recruitment events such as information sessions, webinars, virtual fairs, discipline specific conferences, adult transfer fairs, graduate fairs and related events.
  • Supervise the SGOCE enrollment team, by defining expectations for staff, conducting routine 1:1 and team meetings, distributing and managing workload among team members, mentor and guide team members towards team and school goals and assisting team members in reaching their optimal performance.
  • Recommends new student enrollment goals to the SGOCE Dean and Academic Departments based on data trends, School and University goals, external factors related to market changes and other related/researched factors.
  • Serves as the key admissions CRM administrator for SGOCE and works collaboratively with the University Admissions office to maintain knowledge of admissions CRM trends, participate in University meetings about CRM management, make recommendations about changes to the CRM based on SGOCE student and operational needs and lead related projects in collaboration with the University admissions office. 
  • Responsible for managing the admissions CRM review process for graduate programs. Trains staff on uses of Slate and application file review and prepares and maintains training guides.  
  • In collaboration with the admissions office, monitors the processing of admissions materials and applications to ensure the accuracy, timeliness and compliance with University standards and other external regulations for admissions. 
  • Oversees and manages the international admissions and recruitment processes for graduate students. This includes maintaining knowledge of federal and state guidelines for international admissions practices, maintaining knowledge of best practices for international graduate recruitment, developing guides for international student service in collaboration with the Admissions Department, the office in International Education and other key stakeholders, overseeing daily admissions processes and routinely assessing processes, making recommendations for process improvements, conducting and implementing approved changes.
  • Oversees 4+1 program admission practices and remains knowledgeable about 4+1 programming trends
  • Research and implement new marketing strategies in collaboration with SGOCE Coordinators and the Marketing Department to assist with meeting new student enrollment goals. This includes preparing and completing RFPs for vendors and working with University departments to implement/manage and assess the effectiveness of purchased services. 
  • Responsible for overseeing SGOCE student onboarding processes and communication, including student orientation processes and assessment activities related to onboarding.
  • Leads the development and implementation of new credit based program launch initiatives as they relate to program promotion including working with the marketing department, academic department and other University offices to create a schedule of launch activities and communicate expectations as they relate to new student enrollment. 
  • Leads the development and maintenance of a communication plan for current students as it relates to registration, retention and the dissemination of University information including university policies and announcements.
  • Responsible for managing community college partnerships for credit-based program promotion, collaborating with admissions and the academic departments to maintain current articulation agreements and oversee the work involved with guaranteed admission agreements.
  • Collaborates with the Center for Professional Studies, academic departments, corporate relations, career services and others to coordinate recruitment activities and outreach plans for local employers and community agencies for promoting credit based degree programs and assisting with the promotion of non-credit programming.
  • Maintains current knowledge of regulatory requirements for admissions and recruitment professionals and recommends policy and process changes as needed. Manages process and policies for SGOCE admissions.
  • Oversees and manages Technolutions Slate modules including communication plan, events and associated communication, form builder, and collaborates with Admissions Operations on the streamlining and constant improvements for the application form
  • Prepares and manages a budget for recruitment and outreach initiatives in the division.
  • Responsible for managing and supervising operations, assigned staff, resources and services for recruitment and outreach work within the department.
  • Serves as member of and actively participates in professional associations.
  • Represents SGOCE on University committees such as the transfer taskforce, student veterans committee, the international admissions committee and others. 
  • Performs other duties as assigned by supervisor.

  • Requirements:

  • A master's degree in education or related field required, with a minimum of 5-7 years' proven professional experience within admission and/or enrollment management. 
  • Minimum of 3 years of administrative experience in education or higher education required.
  • Minimum of 3 years of Experience and knowledge of CRM admissions systems such as Slate.
  • Ability to create structures and systems to carry out various aspects of complex tasks.
  • Ability to build coalitions, facilitate groups and build consensus.
  • Demonstrated ability to work with diverse groups and function effectively in situations which require problem solving and conflict resolution skills.
  • Experience working effectively with professionals in the field of education.
  • Experience in the supervision of staff and the management of office functions; e.g. budget, publications, master schedule, policy development, etc.
  • Strong, effective interpersonal, leadership, communication and decision-making skills.
  • Personal integrity and energy.
  • Must be able to satisfactorily pass a check conducted by the Criminal History Systems Board (CORI check), a SORI and a background check satisfactory to the university 

  • Additional Information:

    This is a full-time, benefited, exempt, professional APA position. The annual salary range for this position is $95K - $100K. Hours are Monday through Friday from 8am-5pm.
