Departmental Overview

The Assistant Dean of Admissions and Student Affairs reports to the Associate Dean for Student Affairs, with a dotted line of responsibility to the Dean of the School of Optometry. S/he assumes a leadership role and has broad responsibility and authority in the areas of strategic management of resources for the Admissions and Student Affairs unit; direct supervision and oversight of admissions and student affairs staff personnel, and the management and administration of admissions and student affairs activities.  S/he assumes a key support role in policy setting, strategic planning, reporting, admissions administration, and academic development.
The Assistant Dean heads an office tasked with managing the day-to-day operations related to all current OD students; all on campus Residents; and all current Vision Science students. S/he oversees all registration activities, case management of students in academic or emotional distress and mediation of conflict resolution as needed. The Assistant Dean oversees the Admissions and Student Affairs staff and supervises three staff FTE, work-study students, interns, and external consultants.  Finally, the Assistant Dean of Admissions and Student Affairs in consultation with the Associate Dean of Student Affairs, is responsible for management of the unit's budget and internal student financial aid programs.


• Oversees the process of reviewing applications, managing the process and qualifying and coordinating interviews for those candidates deemed to be competitive for admission, and directing the staff of Admissions and Student Affairs to accomplish these tasks for OD and VS admissions.
• Manages the OD and VS Admissions Committees and the selection of the incoming class/cohort, as well as yield efforts once decisions have been reached.
• Serves as a voting member of the OD Admissions Committee.
• Conducts triage reviews on OD applications.
• Facilitates training and application preparation to the Director of On Campus Residency and Chief Mentors in addition to matriculating matched residents to the University.
• Manages local and national recruitment and outreach efforts, including recruiting visits to feeder institutions and admissions for the School’s Opto-Camp, and supervises the Admissions and Student Affairs staff to make travel arrangements and timely visitation announcements. 
• Serves as a leader in the arena of optometric admissions, Vision Science PhD admissions, and Optometry Residency Certificate Program, attends national and regional meetings, and provides statistical reports to national and state optometric associations.
• Directs the online admissions process and systems (eg: Slate, OptomCAS) to expedite the admissions for each program in conjunction with the Admissions and Student Affairs staff.
• Partners with the School’s Financial Officers to determine appropriate funding for Vision Science PhD graduate students.
• Facilitates, in conjunction with the Director of Off-Campus Residencies and the Director of On-Campus Residencies, a smooth and efficient on-boarding process for incoming OD residents.
• Conducts research designed to constantly evaluate current admissions procedures, including de-briefings with Admissions Committee members, incoming students, competitor analysis and benchmarking against peer institutions.
• Maintains productive partnerships with the Graduate Division and other graduate student centered organizations on and off the UC Berkeley campus.
• Serves as a lead point of contact with the Association of School and Colleges of Optometry (ASCO), assumes leadership roles within this professional association and attends annual meetings.
• Oversees all events related to recruitment, including Interview Day, Visit Days, Admit Day, the Foresight Fall Conference, Opto-Camp and Cal Day.
• Oversees all hard copy and digital content (e.g., social media platforms, BLINK newsletter, updates to Berkeley Optometry’s website) as related to admissions.
• Responsible for conceptualizing, developing, implementing and managing student support service models that promote students’ academic success.
• Assesses overall student services needs and plans appropriate responses. Creates models and “grows” the new programs, ultimately institutionalizing and delegating their ongoing operation as appropriate to the staff of the Admissions and Student Affairs office.
• Has broad authority and management responsibility in all matters of student affairs, leads analysis, forecasting, and strategic planning efforts as they relate to Student Affairs, and builds and maintains the administrative and organizational capacity of the School in these areas.
• Oversees all staff services and procedures relating to students’ progress in the School’s OD program and Vision Science Graduate Group, from admission through graduation.
• Implements and coordinates programs to enhance the student experience for the School of Optometry and Vision Science Graduate Group, establishes administrative procedures, and negotiates with the Berkeley Graduate Division and/or the Office of the Registrar to ensure consistency with University and system-wide policies.
• Assesses administrative problems that may arise affecting students, investigates alternatives, devises and implements solutions.  Interacts with various campus offices to determine approaches to resolving problematic student issues.  Applies high-level knowledge of student matters and creative problem-solving skills to arrive at solutions that benefit Berkeley Optometry and Vision Science students.
• Serves as head of the Admissions and Student Services Office.  Has authority to establish and enforce policies and procedures, authorize access to campus financial systems, and allocate resources in pursuit of broadly stated goals of the unit.
• Partners with the campus constituents and Development and Alumni Relations to offer career advising and support services for OD and Vision Science PhD students.
• Serves as a representative to the campus Graduate Division, and represents the School to other university Offices (e.g., the Office of the Registrar, Financial Aid)
• Represents the School to external constituents (e.g. corporate partners, alumni, sponsoring agencies, governmental entities, and others), and serves on special committees and task forces at the request of the Dean and other campus offices.
• Case manages students in academic and/or emotional distress.
• Oversees the staff of Admissions and Student Affairs in all “promotional” events related to current students, including the White Coat Ceremony and New Home Night.
• Manages 4ProsOptos career series and annual Career Management Conference.
• Assures compliance with Berkeley Optometry and University-wide immunization requirements for entering and continuing students.
• Manages and organizes committees to execute New Student Orientations and Graduation.
• Oversees all hard-copy and digital content as related to student services.
Resource Planning and Implementation
• Has fiduciary responsibility for maintaining a sound financial environment, upholds good business practices for the Admission and Student Affairs unit, and works closely with the Senior Assistant Dean and Chief Operating Officer, Assistant Dean of Finance and other unit staff who process and record financial transactions, to ensure timely and accurate financial information, monitor accounts and resolve problems, ensure compliance, safeguard resources and reduce risk.
• Develops an annual operating budget for Admissions and Student Affairs.  Exercises management control (determines funding priorities, goals, and allocations) for the Admissions and Student Affairs Office, based on trends. Requests augmentation as necessary to conduct unit business and achieve unit goals.  Manages budget comprised of University Block Grant funds, Professional Development Student Tuition funds allocated to student aid, School fellowship funds (PSSF), corporate sponsorship and operating budgets for Admissions and Student Services.
• Provides analysis of these financial resources for maximum efficiency of utilization and provides reports to the School’s Dean and the Assistant Administrative Deans of Operation and Finance, on their allocation and spending patterns. 
• Coordinates the activities of the School’s Scholarship and Awards Committee through the Assistant Director of Admissions and Student Affairs.
• Works with the Dean, Associate Dean of Student Affairs and Assistant Dean of Development and Alumni Relations to provide corporate partners with a cohesive plan for sponsorship of School of Optometry activities.
• Manages the staff (3 FTEs) who provide admissions and student services support.
• Has responsibility for the advertising, interviewing, recruitment, classification, position reviews, salary administration, reorganizations, layoffs, grievances, and disciplinary actions within the Admissions and Student Affairs unit.
• Has responsibility for establishing and maintaining equitable and progressive policies, practices, and systems; maintaining a network of internal communications; and working closely with program directors, managers, and administrators to provide advice, promote development and training, to implement policies, authorize actions, and meet objectives.
• Prepares personal professional development plans and oversees the same for his/her direct reports on an annual basis.
Professional Service and Development
• Serves on a wide range of University and School committees, special task forces, and special assignments (e.g., Dean’s Administrative Committee, Admissions Committee, Academic Advisory Committee).
• Serves on committees to address special needs or concerns, such as campus-wide committees to assist the Graduate Division.
• Regularly attends classes, local industry conferences as well as professional career conferences, to stay current in latest trends and practices in Admissions and Student Affairs Administration and enhance expertise in job areas.
• Participates in activities that enhance the campus community and/or larger community to further University service.
Other Duties as Assigned
• The Assistant Dean of Admissions and Student Affairs assists the Dean, the Associate Dean for Student Affairs, the unit heads of Berkeley Optometry and the faculty by undertaking other projects as assigned.
• Recognizes issues that have campus impact or future implications and advises the managed employees accordingly.
• Evaluates the effectiveness of the student services function, and makes changes to the program to provide better service to organizational management, faculty, and students.
• Represents the student services unit to the campus community and relevant external constituencies.
• Decides which resources will be committed to goals and objectives and how they will be allocated.

Required Qualifications

Knowledge and Skills:
• Advanced knowledge of advising and counseling techniques.
• Knowledge of common University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
• Skills in monitoring/assessing people, processes or services, to make improvements.
• Excellent managerial skills to supervise the handling and security of large volumes of data.
• Excellent interpersonal skills.
• Sensitivity to students of diverse backgrounds and cultures.
• Skills in project management, social perceptiveness to be aware of others' reactions and understanding why they react as they do.

• Thorough knowledge of the admissions requirements and standards for making satisfactory progress for the OD program, Vision Science PhD Graduate Program, and Optometry Residency Certificate Program.
• Possess a thorough knowledge and understanding of University policies, procedures, and protocols in the following areas:  admissions, enrollment, milestones, financial aid, federal privacy policies as they apply to student records (FERPA), student recruitment and optometric licensing requirements.
