Position Summary:


Florida Atlantic University is seeking an Assistant Coordinator, Executive Education - Boca Raton, FL.

Summary of Responsibilities:

  • Works closely with the FAU bookstore and other vendors to place book orders.

  • Corresponds frequently with students, faculty and vendors by phone and email using professional communication skills (verbal and written).

  • Facilitates students’ book ordering process each semester in collaboration with the Executive Education staff counterparts.

  • Communicates with faculty to gather book orders for Executive Education courses.

  • Manages inventory and distribution of textbooks to students for all programs.

  • Contacts textbook publishers and vendors regarding ordering textbooks for all programs.

  • Resolves all discrepancies related to purchase or receipt of textbooks.

  • Tracks Purchase Orders for payment purposes by the Controller’s Office.

  • Ensures supplier accounts are up to date in FAU vendor system.

  • Collaborates with the FAU Bookstore (Follett) to purchase, invoice, and ship textbook(s) and material(s) to Corporate Program students.

  • Develops and provides best practices with team members.

  • Works closely with the Program Director and Coordinators in the Office of Executive Education and the Scheduling Coordinator for the Dean’s Office to process scheduling requests.

  • Processes requests for new classes and initiates updates to schedules.

  • Collaborates with the registrar’s office to follow policies and procedures for the scheduling process.

  • Assists with departmental room scheduling as needed in the R25 system.

  • Accommodates with event programming and management of the Executive Education programs on the Boca campus, such as orientation, graduation, evening class events, and other similar occasions as necessary.

  • Provides general office support if requested in other areas.

  • Other job-related duties as assigned.

Minimum Qualifications:

Master's or bachelor's degree from an accredited institution in an appropriate area of specialization required.
Preferred Qualifications/Skills:
Data entry skills.
Strong written and verbal communication skills.
Proficiency in MS Office Suite.
Customer service orientation and negotiation skills.
High degree of accuracy and attention to detail.
Knowledge of Banner, Workday, and Scheduling systems.
Requires a service minded, well-organized, detail-oriented person with strong interpersonal and written/verbal communication skills and an excellent multi-tasker.
Requires an outgoing individual who enjoys providing a high level of service and assisting other people.
This individual should know how to prioritize job tasks, work well under deadlines/pressure, does not mind work in a fast-paced environment, and is a team player with a flexible schedule.
Teamwork is important in this position to build collaborative relationships with colleagues and customers representing diverse cultures, races, ages, genders, religions, lifestyles, and viewpoints.

Salary:

$50,000 - $55,000 per year.
