Position Summary
The Assistant Clinic Support Manager provides support and supervision for the Bowden Eye Care and Health Center. This position manages daily business operations to include staffing, patient and provider scheduling, finances, managing employees, and ensuring compliance with risk management protocols. The Assistant Clinic Support Manager reports to the Clinic Support Manager.

Job Duty Name Business Operations Managment
Description of Job Duties
  • Provides supervision and training to employees assigned to patient reception, scheduling, insurance verification, cashiering, and clerical within the University of Incarnate Word’s Rosenberg School of Optometry clinic network.
  • Monitors the answering of all in-person and telephone inquiries concerning clinic information from the number of calls received, handled, etc.
  • Manages the training of staff in the collection and retention of patient documents to include the preparation of files, filing, scanning, and linking.
  • Reviews daily reports from reception staff.
  • Manages staff issues (i.e., employee performance, disciplinary, etc.), if needed, in coordination with the Clinic Support Manager.
  • Works closely with the Clinic Support Manager regarding clinical operations standards, policies, procedures, and requirements.
  • Monitors administrative and legislative changes affecting insurance policies, medical records, Medicare/Medicaid, HIPAA, Risk Management, and all other areas pertinent to regular duties.
  • Performs all other duties as assigned.

Description of Job Duties
  • Coordinates and supports community outreach events.
  • Provides support for the annual Clinic Orientation for new third-year interns and the annual Clinic Induction Ceremony.
  • Conducts and supervises special tasks, duties, or projects that may arise in the normal course of clinical support.

Qualifications


Knowledge Skills and Abilities
  • Demonstrated proficiency in use all aspects of electronic medical records including the ability to create and generate reports for clinic performance measures.
  • Strong knowledge of HIPAA regulations and policies.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.
Required Education
Bachelor degree (BS/BA) or equivalent degree from an accredited college or university.
Required Work Experience
  • At least three (3) years of experience as a manager in a medical setting.
  • At least one (1) year of experience working with electronic medical records.

Preferred Qualifications
  • Spanish speaker is preferred.
  • Previous experience working with CrystalPM.

Work Hours
Typical Monday through Friday 8:00am to 5:00pm with occasional extended hours/weekends to meet departmental needs and/or needs of the clinic operations.
