Description

 

Assists the Business Administrator for a very complex college with the administration of the college's administrative and human resource operations. Provides administrative support to the Office of the Dean.

  • Participates in the management of the College's human resources. Recommends personnel actions. Manages and audits the processing of human resource and payroll transactions.
  • Assists management with the implementation of organizational decisions.
  • Facilitates the coordination of problem resolution, communication, and document preparation and processing with departmental personnel.
  • In consultation with the College Business Administrator, manages the administrative functions for the Office of the Dean, including supervision of staff.
  • Monitors the administrative performance of select department and centers reporting directly to the Office of the Dean, and serves as signature authority for these entities.
  • Participates in the development and maintenance of college policies and procedures; and trains staff to comply with these guidelines.
  • Assists with select aspects of sponsored research administration and oversight.
  • Coordinates communications with internal and external constituents, to include newsletters and web site content.
  • Serves in the absence of the College Business Administrator and certifies documents in his/her absence.
  • Performs other job-related duties as assigned.

    Qualifications

     

    Bachelors and 3 years experience

    Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Requires a minimum of three (3) years of directly job-related experience.

    This position assists the College Business Administrator and the Director of Faculty Affairs activities for the Bauer College of Business.

    • Generate faculty professorships, endowments, summer research, chair & administrative stipends
    • Coordinate faculty promotion/tenure items
    • Coordinate faculty folders and new faculty orientation
    • Generate offer letters and hiring paperwork for new adjunct faculty
    • Facilitate the processing of H-1B and PERM petitions for foreign nationals
    • Generate faculty additional comp forms and process faculty overload ePARs
    • Coordinate with DBMs to ensure compliance on Human Resources issues
    • Coordinate with HR and Payroll to resolve issues with personnel records and payroll
    • Evaluate and maintain staff training processes for the college
    • Serves as employment representative for college (posting positions, interview processes, serve on interview committees as needed)
    • Oversee and reconcile all payable time and verification reports for Bauer college
    • Run and reconcile all college suspense reports
    • Logs staff assignments for DBM and Financial Analyst to reconcile BOB report
    • Audit and approve faculty, student and non-ben staff ePARs
    • Request ePRFs for faculty, staff and students reporting and funding changes
    • Review tuition waivers requests for CBA approval
    • Maintain log for faculty and staff leave accruals
    • Initiate, verify and finalize non-ben staff termination checklists

    Preferences:

    • Familiarity working in higher education and particularly directly with faculty. 
    • Experience in immigration processes for international hires.
    • Experience with PeopleSoft Finance and HR.
