Job Summary:

The Assistant Athletic Director of Ticket Operations and Outbound Sales works under the direction of the Associate Athletic Director – Business and Finance. The Assistant Athletic Director is a member of the University of San Francisco Athletic Department and works cooperatively with student-athletes, coaches, athletic department staff members, and University employees on ticket and business operations items. This Full-Time position will have responsibility for leading and managing all athletic ticket office operations including: ticket sales, customer service strategies, season ticket holder retention, and sales analytics and projections. Additionally, the Assistant Athletic Director will work closely with Game Day Staff to oversee all game day ticket operations including: spectator
entrance management, game day ticket staff, game day ticket sales, will call and pass list management. Must be able to work at games and other events on nights and weekends. Some travel may be required.

Full Job Description:

Job Responsibilities: Included but not limited to
Ticket Sales (60%): Oversee the yearly ticket sales, ticket revenue goals, and provide fiscal year financial analyses.
• Create and implement outbound ticket sales strategy to increase season ticket, single game, and group ticket sales revenue year over year.
• Direct and oversee the operations of the ticket office and sales staff; development of sales, solicitation action plans, and strategic goal setting
• Coordinate the hiring, training, management and oversight of inside sales staff.
• Create and prepare sales scripts and sales collateral.
• Track all measurable data, including but not limited to calls made, tickets sold, and revenue generated. In addition to reporting detailed figures and progress toward ticket revenue goals regularly to the Director of Athletics and Associate Athletic Director – Business and Finance.
• Maintain accurate database records through the use of Salesforce, CRM and other methods.
• Establish policies and internal controls for the ticket sales staff.
• Regularly attend External Relations team meetings to coordinate marketing and sales efforts with the GDE and External team.
• Ensure all service requests and sales inquiries are resolved in a timely manner.
• Collaborate with the USF Development Team to promote sales, implement new strategies and ensure understanding of ticket policies and procedures promoted during fundraising. Including but not limited to seating assignments, parking, venue access, and donor loyalty point system.
• Assist in the development of department policies and procedures for the Business Office.
• Research trends and sales opportunities and implement them into ticket sales strategy
• Other duties as assigned.
Ticket Operations(40%): Oversee the day to day operations of ticket and sales processing, ticket distribution, and game day event management.
• Oversee financial reporting for all sales processed through the Ticket Office including revenue reports, game settlements, and audits for review for all sports. Responsible for providing timely reports of year to date performance for all revenues processed through the ticket office.
• Oversee the processing and reconciliation of all ticket sales completed by the Ticket Office and Ticket Sales team.
• Manage the printing and distribution of tickets during normal business hours and at all home events.
• Work closely with Game Day Operations, External Relations, and GDE team to coordinate and implement event operation policies and event marketing strategies.
• Work in coordination with the External Relations and GDE team to develop and implement marketing strategies including: distribution timelines, mailings, communications for season ticket renewals, acknowledgments, statements, and any other related material for all ticket accounts.

• Oversee all online ticket sales functions and software.
• Act as the primary liaison between the Athletic Department, the software ticketing company, ticket scanner software, and the customers.
• Hire, train, schedule and supervise ticket office student staff (approximately 2-6 per game depending on event), including events held on nights and weekends is expected.
• Oversee and ensure budget requirements are met as it relates to expenses and staff scheduling.
• Collaborate closely with the GDE team to manage the distribution of all group ticket sales during home events
• Manage the day to day working relationship with the outside partners including but not limited to the department ticketing software provider and ticket stock producer.
• Responsible for away game, post season, and tournament tickets sales, distribution, accountability and pass list.
• Develop and maintain customer service policies, procedures and standards.
• Maintain proper internal controls in regards to cash handling, PCI compliance, and other Athletic Department and University (Office of Accounting and Business Services) established policy.
• Ensure all ticketing procedures and policies are being followed in accordance with NCAA and WCC guidelines.
• Follow guidelines about confidentiality of data, NCAA compliance, PCI compliance and institutional compliance.
• Other duties as assigned.

Qualifications and Requirements:
• Bachelor’s degree required, Masters preferred and at least 2 years of related experience.
• Prior experience with ticket operations and ticket sales, preferably in a Division 1 Collegiate setting.
• Prior experience with ticketing software (including Paciolan) is preferred.
• Strong administrative and organizational skills with high attention to detail and accuracy.
• Proficient and advanced computer skills (Microsoft Office: Excel, Word, PowerPoint, etc) are required.
• Ability to set priorities, coordinate multiple projects, meet deadlines, and work with minimal supervision.
• Strong time management skills with the ability to work in a dynamic, fast-paced environment.
• Strong verbal and written communication skills. Ability to collaborate with multiple teams within the department as well as external groups and spectators.
• Customer service experience, with the ability to problem solve and maintain relationships with cross campus departments, season ticket holders, spectators, donors, etc.
• Prior staff oversight experience preferred.
• Strong understanding of standard accounting procedures, with the ability to develop and manage budgets, as well as prepare and present financial reports.
• Familiarity with NCAA rules and regulations in regards to ticket legislation
