Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Position Summary Information


Job Description Summary
The Assistant / Associate Director is an integral member of the Office of Undergraduate Admission’s professional staff charged with recruiting, selecting, and yielding the first year and transfer classes. As such, they have general admission officer responsibilities, including but not limited to, serving in a public relations and informational role with prospective applicants, their parents and their high school guidance counselors, both in the office and on the road; traveling to specific, assigned regions; managing a specific reading territory; attending college fairs; presenting informational programs and developing collegial relationships with school personnel and identifying and recruiting appropriate applicants from those areas.
Other special projects include, but are not limited to, the continued development and coordination of enrollment strategies related to College Board Search, Marketview, and other analytical tools used to achieve broad enrollment goals for the entering First Year cohort. Assistance with in-office procedures and management, such as the transcript evaluation process, leading a team during the committee/selection process and coordinating the overall undergraduate staff on territory development and onboarding of new staff. Participation in professional development activities and associations. Demonstrated program management or project management as well as professional staff oversight is required for the Associate Director level. Related projects as assigned.
Responsibilities
Recruitment, outreach, liaison, and programming
  • Work with Directors in the development of recruitment plans and strategies for on and off campus activities that are in alignment with the Admissions Office and Chapman’s enrollment goals, missions and values. 
  • Research and evaluate the demographic and academic characteristics of an assigned geographic territory and school groups. 
  • Creates an annual recruitment outreach recruitment plan and develop market analysis and competitor intelligence for assigned territory. 
  • Conduct analysis of historical data to determine outreach targets for assigned territory and that of those that report to the position. 
  • Recommend and develop new approaches to attracting the most competitive candidates to the University. 
  • Prioritize and decide on college fairs, information programs and school visits within assigned territory. 

In-office counseling/advisement
  • Meet with and/or interview prospective students to evaluate suitability for admission when/where needed. 
  • Advise prospects and applicants on requirements, gen. ed, majors, financial aid/scholarship opportunities, and outcomes.
  • Strong command of financial aid leveraging and understanding the distribution of funds based on student FAFSA data and in-house leveraging model. 

Read/review assigned applications
  • Read and evaluate first year applications and a limited number of transfer applications. 
  • Make decision recommendations, without specific guidelines and are highly individualized and based on a comprehensive evaluation of the qualitative and quantitative aspects of the materials as well as a thorough understanding of the University’s educational philosophy and enrollment goals. 
  • Provide rationales and backup data for the Admission Committee when a decision may be different than the recommendation. As a member of the University Admission Committee, participate in the full admission process.

Special Projects:
  • As a senior Admission staff member, assist with daily operations of the Admission Office, including possible assistance with office processes such as coordination and training of staff regarding the travel cycle; supervisory responsibility as a team lead in reading and committee work, or full charge supervisory responsibility in the absence of the director of UG Admission.
  • In tandem with team leadership, oversee and implement strategies related to College Board Search, Marketview, and other analytical tools for optimal enrollment funnel performance.

Professional development activities
  • Actively serve as a member of WACAC/NACAC at regional and national level seeking leadership and stewardship roles. 
  • Seek other industry-related educational opportunities and professional associations. Perform other related duties as assigned.
Required Qualifications
  • Bachelor’s degree required. 5+ years of experience in admissions or related field. 
  • Strong organizational skills to prioritize schedules, projects and resources, and to meet deadlines. 
  • Demonstrated effective written, oral, and interpersonal skills; proven ability to maintain a high level of confidentiality and demonstrate tact, diplomacy, and leadership. 
  • Strong technical skills to learn and use enterprise and department information systems and related software applications such as PeopleSoft, Slate, The Common Application and google docs. 
  • Strong presentation skills to persuasively communicate/connect with target audiences. 
  • Excellent time management skills with the energy and flexibility to coordinate multiple assignments, set priorities, and work under pressure in a demanding, deadline-driven environment. 
  • Strong organizational and management skills with proven ability to manage prospects. 
  • Ability to work independently with little supervision while also being a team player. 
  • Ability to travel inside and outside the U.S. during annual recruitment/outreach cycles, including weekends and evenings. 
  • Ability to show respect for, interact with, and handle sensitive and/or confidential issues with a wide range of individuals within the unit, across the university, and in the public at large. Sensitivity and understanding of individual student and family needs and cultural diversity. 
  • Ability to quickly learn the CU selective admission process and administration; good judgment and quick thinking. Computer skills utilizing Microsoft Office Suite Application. 
  • Strong analytical skills to evaluate data, assess alternatives, and make appropriate decisions and/or recommendations. 
  • Clear understanding of the mission of Chapman University; high level of working knowledge of CU programs, policies, and procedures. 
  • Ability to perform mathematical calculations and evaluate previous coursework/testing. Ability to follow relevant policies and procedures. 
  • Ability to present Chapman University in a positive and persuasive manner. 
  • Technical skills to learn and use enterprise and departmental tools and systems. 
  • Knowledge and understanding of a range of student life issues and concerns. 
  • Working knowledge of student career and academic advisement principles, methods and procedures.
