ASSIST DIR, STUDY ABROAD

(50%) PROGRAM MANAGEMENT

Serve as Administrative Director for a portfolio of Duke-administered semester and summer programs. Examples include Duke in Madrid, Duke in Venice, Duke in Los Angeles, Duke in New York, etc.

Program Recruitment and Pre-departure

  • Coordinate with program staff, faculty, and Director of Communications to recruit students
  • Oversee process and review of student applications
  • Conduct orientation meetings and attend information sessions
  • Oversee revision of pre-departure materials, program website, and application materials

Site Operations and Logistics

  • Oversee hiring of program staff and training of program staff and faculty
  • Liaise with host universities and partners to enroll students, coordinate program housing, secure classroom space, and organize excursions/activities
  • Review and negotiate contracts for program logistics and personnel
  • Oversee program budgets and expenses; participate in the annual budget process

Program Evaluation and Development

  • Arrange and conduct periodic program reviews
  • Review program and course evaluations; work with program staff and faculty to make appropriate changes and address issues
  • Assist the Associate Director with the development of new programs

OPERATIONS MANAGEMENT (20%)

Staffing and Supervision

  • Supervise workflow and assist with workflow issues of assigned staff
  • Approve timecards and vacation/sick leave of assigned staff
  • Conduct team meetings and one-on-ones with assigned staff
  • Participate in the staff hiring process
  • Conduct performance evaluations for assigned staff

Processes and Procedures

  • Assist the Associate Director in the evaluation and revision of all study away procedures, policies, and forms
  • Oversee GEO’s process for GDPR compliance
  • Serve as primary liaison to the Student Disability Access Office and update process, as needed
  • Contribute to GEO’s long-range planning, goal setting, and process improvement
  • Coordinate with other program managers to ensure consistency and implement improvements/revisions in program management, policies, procedures, and publications

(20%) PROGRAM PROVIDERS AND STUDENT SERVICES

  • Serve as primary GEO liaison to assigned overseas partners and program providers
  • Collaborate with Student Disability Access Office, Financial Aid, academic deans, Office of Student Conduct, the faculty director, and other offices to support student access and participation
  • Troubleshoot post-advising problems for students enrolled in assigned programs
  • Assist the Office of Undergraduate Health Safety and Support in the event of a student emergency
  • Maintain good relationships with partners and providers; problem-solve issues that arise with them

(5%) OUTREACH AND COMMUNICATION

  • Oversee and contribute to the revision of program-specific and office publications
  • Serve on committees and working groups by appointment
  • Participate in periodic outreach events including tabling and presentations

(5%) OTHER DUTIES AS ASSIGNED

EDUCATION/TRAINING

Work requires knowledge of academic program planning, development, and implementation generally acquired through completion of a bachelor's degree program. Master's degree or Ph.D. preferred. Strong Spanish language skills are strongly preferred. Applicants should possess a high level of comfort and expertise in the use of technology in an office and educational setting, and a comprehensive knowledge of global higher education systems.

EXPERIENCE

Work requires a minimum of five years of experience in an academic and/or administrative capacity. Preference will be given to candidates with substantial academic program management experience, as well as experience supervising staff. Experience living, studying, and/or working abroad is a plus.

Minimum Qualifications
Education

Experience

Work requires two years of experience in an academic and/OR EQUIVALENT COMBINATION OF RELEVANT EDUCATION OR EXPERIENCE in an administrative capacity to become familiar with various academic, co-curricular, programmatic, or administrative activities.
