Assessment Specialist, Application Support

Job Summary

This is a hybrid position, requiring the individual to come to the Purdue University, West Lafayette and Indianapolis, campuses on a weekly or biweekly basis.

This Assessment Specialist focuses on supporting Purdue's institutional repository (IR) or Application "Elements" - focused on tracking, monitoring, and reporting on the scholarship, research, teaching, service or engagement, and creative activities of Purdue's expert scholars (aka, faculty).  In this role they ensure Elements is highly utilized from data entry to reporting functionality and beyond.  In essence, this position purposefully integrates humans, processes, and technology to develop, capture, and execute Purdue's robust intellectual infrastructure, so that Purdue's expertise is properly documented and shared or communicated not only within or across our campus, but also across our communities (local, state, national, and international).


Additional Information:

The Assessment Specialist will work closely with many leaders across Purdue, in the following ways:  strategic planning, administrative oversight and project management, plus ensuring high quality performance of the IR.  Some example of specific roles or duties about each of these areas are shared below.

Strategic planning.  Some examples include:

  • Establishing new and collaborating with existing Metadata or Data Governance bodies to develop appropriate standards, practices, policies, and workflows or schema, usage, and sharing of data gathered by the IR.
  • Creating benchmarks, key performance indicators, or establishing other metrics to document ubiquitous use, reporting, and communications or educational awareness.
  • Integrating technology solutions related to faculty expertise and productivity (e.g., Elements, Academic Analytics, ORCid, Incite) to ensure Purdue University can efficiently and effectively utilize and share/communicate the existing knowledge and expertise of our scholarly community.

Administrative oversight and project management.  Some examples include:

  • Create and update training materials plus design and conduct trainings for our diverse users, via various modes (online, in-person, hybrid, recorded, live, synchronoous, asynchronous, etc.) that respect the variety of experience levels with our IR "Elements."
  • Manage and support a dozen College Success Managers (CSMs) who are tasked with supporting the usage of the IR "Elements," by all faculty in their college at Purdue.
  • Generates and implements a multi-year strategic communication plan to continuously onboard and educate the campus community on the status, updates, and improvement made to the IR over time.
  • Cultivating positive, long-term relationships with multiple university partners including graduate students, staff and senior leaders (Associate Deans, Deans, Vice Provosts, etc.) across Purdue University, West Lafayette and Indianapolis.
  • Documenting project milestones, deadlines, metrics, and goals.

Performance.  Some examples include:

  • Creating detailed testing plans to capture standard and advanced product usage requirements.  This includes evaluating support issues and either resolving or escalating them to the appropriate resource for resolution with help for the Database Administrator.
  • Ensure the processes or workflows established in the IR are consistent with college, school, or departmental annual reviews and promotion and tenure policies and practices (e.g., quantifying activities or putputs, protecting anonymity of external reviewers, moving documentation through committees in the correct order).
  • Diagnose and works with others to resolve complex problems, questions and inquiries encountered by users of the IR "Elements" - ensuring proper documentation of all decisions and changes, enhancements, or improvements.

What We're Looking For:
  • Bachelor's degree in library science, higher education or student affairs, human-computer interaction or design, technology leadership, information management, or another related field
  • Three or more years of experience working in an academic environment
  • Previous experience working with an institutional repository (IR)
  • Knowledgeable about the outputs of scholar-experts in higher education (publications, creative activities, patents, grants or funding, advising theses or dissertations, teaching, mentoring faculty or students, etc.).
  • Knowledgeable of the processes surrounding faculty annual review, plus promotion and tenure
  • You can repeat mundane tasks with consistent zeal, accuracy, and quality
  • You are an excellent communicator (you are clear, concise or direct, and effective) with a demonstrated ability to meaningfully collaborate with diverse sets of stakeholders and provide an absolute focus on the needs of our scholarly community
  • You have previous experience executing ourreach efforts (presentations, workshops, office hours, fairs, etc.) to educate and promote awareness of resources such as the IR "Elements"
  • You can manage the expectations of senior leaders in such a way that balances their vision with respect to the individual scholar-expert involved in data entry and navigating the processes of annual review or promotion and tenure
  • You can respect the variety of disciplinary backgrounds and communication styles involved in working with diverse stakeholders.  You have plenty of examples managing vendor and user communications, expectations, and needs when implementing and maintaining usage of an institutional repository, software, or similar interface (i.e., UI and UX)
  • You have a strong commitment to staying involved with and abreast of evolving data-related topics, policies, regulations, and ethical standards
