Administrative Analyst/Specialist - Exempt I
RESPONSIBILITIES & DUTIES:
Office of Academic Programs: Allocation of work 50%
Independently performs complex organizational duties to support the AVP APCI. Works independently on multiple projects as assigned. Performs general office support activities including calendar management, travel paperwork and reimbursements ensuring compliance with applicable regulations governing the University. Handles interpersonal interactions at all levels of the university structure involving students, faculty, staff, administrators, and community partners. Processes a high volume of telephone calls, emails, and walk-in visitors. Conducts business with a high degree of professionalism, discretion, and confidentiality. Researches and determines methods, policies, and procedures to achieve programmatic goals. Takes lead role in related committees, ensuring compliance with applicable regulations or requirements governing the program. Serves as liaison to outside agencies or entities related to the Academic Programs Office. Develops and makes recommendations to resolve administrative problems, operational situations, procedures, and practices. Prepares administrative reports, forms, letters, memorandums, correspondence and materials, minutes, agendas, and other required documents. Performs financial analysis, planning, and fund management including budget analysis, accounting, and administration. Coordinates all internal and external events and meetings called by the AVP including reserving space, monitoring RSVPs, registration, hospitality, and day-of logistics. Maintains departmental websites and other media used to inform internal and external stakeholders.
Academic Senate: Allocation of work 50%
Schedules and coordinates Academic Senate, Senate Executive Committee, and other Committee meetings as necessary. Supports meetings of the Academic Senate and its committees by publishing meeting dates, times, locations, agendas, minutes and additional materials as required; and by maintaining appropriate email distribution lists for members, recording meeting attendance, and facilitating the voting processes as directed by the Senate Chair. Maintains and posts updated list of Committee members and chairs as necessary. Coordinates processing, publication, and distribution of policies and resolutions passed by Academic Senate according to Senate procedure and as directed by the Senate Chair. Oversees the Academic Senate budget including processing release time for faculty serving in the Senate, monitors expenditures for accuracy, completes budget requests and transfers, coordinates travel claims and funds from the Chancellor’s Office for release time and travel. Interprets and applies university travel policies and procedures in order to ensure compliance with all regulations. Uses judgment in development of procedures related to issues not covered by existing policies and procedures. Serves as the central repository and primary contact for Academic Senate archives. Acts as internal and external resource on policies and procedures, including those related to submitting new policies for Senate approval. Sends out group email correspondence for a variety of Senate and Committee related matters, tracking or forward responses as necessary. Other duties as assigned.
REQUIREMENTS OF POSITION:
Four years of experience in working with computerized information systems, databases, and other computer software or an equivalent combination of education and experience; bachelor’s degree from an accredited four-year university preferred. Two to three years’ experience in a progressively responsible administrative/clerical support capacity highly preferred. Excellent communication skills with the ability to establish priorities to achieve results and expedite projects for the Senate Chair and officers. Experience and comfort in working independently and ability to develop and implement operational strategies to resolve problems. Ability to analyze and interpret university policies and procedures, interact with all levels of staff and administration effectively, and handle situations of a confidential nature. Ability to respond to a high volume of telephone and email inquiries. Experience with and knowledge of accounting procedures and financial reconciliation. Ability to exercise independent judgment. Excellent computer skills, solid knowledge of Microsoft Office (Word, Excel, and PowerPoint) and familiarity with Hyperion and use of the internet to conduct research in support of assigned project is mandatory. Website development capabilities is preferred. Ability to prioritize projects and to work independently and accurately. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques. Hiring Range: $4,170 - $4,500 per month. Starting salary expected to be $4,170 per month.
