Position Summary:

We are seeking a highly motivated and organized individual to join our Advancement team as an Annual Giving & Leadership Annual Giving Specialist. In this position, you will play a pivotal role in supporting the success of our annual giving initiatives and providing crucial administrative support to our Leadership Annual Giving team. This position will support the success of UD's ambitious We Soar campaign, which aims to raise $400 million by 2025 to support access to scholarships, hands-on learning opportunities, and academic innovations and faculty excellence.

Responsibilities Include:

Annual Giving Support:
-Provide daily administrative support for the Digital Philanthropy Center, One Day, One Dayton (UD’s annual giving day), direct marketing, peer-to-peer programming, Flyer Funder (crowdfunding), and student philanthropy initiatives.
-Maintain accurate records and documentation for all annual giving activities.
-Assist with the creation and distribution of marketing materials for annual giving initiatives.
-Manage purchase orders and payment requisition requests related to Annual Giving partnered contracts.
-Attend and participate in Annual Giving team meetings.
-Assist with calendar and meeting scheduling for the Annual Giving team.

Leadership Annual Giving Support:
-Assist Leadership Annual Giving officers with travel arrangements, expense reports, and other administrative requests.
-Attend, participate and provide administrative support for Leadership Annual Giving team meetings.
-Circulate monthly pledge reminders to Leadership Annual Giving officers and coordinate with the Advancement Services team on which reminders should be sent.
-Assist with calendar coordination and meeting scheduling for Leadership Annual Giving team.

Phone, Mail, and Email Management:
- Serve as the primary point of contact for UD's main Advancement phone line, responding to inquiries and directing callers to appropriate resources.
-Manage and respond to constituent email inquiries in a timely and professional manner.
-Coordinate and deliver mail on a rotational basis with other Advancement administrative support team members.

Minimum Qualifications:

-High school diploma or equivalent.
-At least three years of relevant experience in an administrative or customer service environment.
-Strong interpersonal and communication skills, with the ability to build internal relationships to work effectively with a diverse group of constituents.
-Ability to coordinate and organize meetings and special events.
-General knowledge of office management principles and procedures.
-Ability to record and transcribe meeting minutes.
-Ability to prepare effective written materials, including drafting correspondence, reports, as well as applications for monetary support and to proofread and edit others’ work.
-Extensive knowledge of various software packages, i.e., Google Workspace, Microsoft Office Suite, etc.
-Must have a valid driver's license, possess a low risk driving record and be insurable by the University.

- Demonstrated and successful interpersonal skills and experience working with people from diverse backgrounds.
- Provide examples of organizational skills that successfully support deadline driven goals and objectives while managing multiple projects.
- Demonstrated ability to establish priorities and use critical thinking for a wide variety of tasks while supporting a team of individuals.
- Knowledge of and sensitivity to a Catholic, Marianist work environment.
- Experience with Salesforce database
