Job Summary
The Ambulatory Clinic Supervisor I will be responsible for:
  • Supervising administrative staff. Interviewing, hiring, orienting, training, developing, and disciplining staff as necessary. Organizing work and work processes. Leading staff in creating and/or maintaining an environment in which core ECES values are upheld. Conducting annual performance appraisals and recommending merit increases in conjunction with the Practice Administrator and consistent with Hospital policy. Conducting regular staff meetings.
  • Maximizing revenue by ensuring all appropriate registration and administrative paperwork is generated at the time of patient registration and forwarded to the Hospital and/or Foundation in a timely manner for billing purposes. Identifying opportunities to change registration, scheduling and billing processes and procedures to enhance positive patient experience.
  • Ensuring all Program personnel are trained in Hospital policies and procedures, as well as in ECES, and appropriate features of the Hospital's information systems, including follow up training and consultations. Ensuring compliance with third-party regulations and requirements (such as DPH, licensure, The Joint Commission, OSHA, etc.) and billing as they relate to proper documentation, coding and charge entry processes for program clinical services.
  • Evaluating Program's space needs. Overseeing clinician schedule(s) to ensure appropriate room utilization and resource allocation. Monitoring and coordinating any facility issues which affect operations. Recommending efficiency improvements to the Practice Administrator.
  • Purchasing daily medical and office supply needs through established Hospital protocols to ensure efficient patient care. Monitoring supply inventory/budgeting and identifying and communicating trends and patterns to support cost containment and ensuring appropriate use of supplies.
  • Ensuring patient satisfaction by providing positive and effective customer service. Monitoring and assessing management and operations for patient satisfaction. Recommending and implementing improvements to service.
  • Organizing and maintaining daily administrative operations of department. Exemplifying ECES values in performing these duties. Preparing, verifying and monitoring departmental payroll and maintaining related records. Preparing periodic reports and documents to comply with hospital, governmental, regulatory and/or funding agency requirements, according to established schedules. Coordinating administration of departmental fellowship and/or residency programs, training grants and related programs.
  • Participating in budget process by identifying and analyzing trends and patterns and preparing cost projections. Developing proposals to improve cost effectiveness. Monitoring budgets and payroll, resolving variances, preparing reports and maintaining related records and documentation.

To qualify, you must have:
  • An Associate's degree.
  • 3 years of previous experience. Additional years of experience may substitute for a degree.
  • Basic understanding of scientific, mathematical, or technical principles.
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • Demonstrated knowledge of hospital systems, operations and managed care.
