The Alumni Relations Development Associate is a key team member who works under the direction of the Executive and Senior Directors to support increased alumni and parent engagement by assisting with the coordination, execution and marketing of various new and established programs within Alumni Relations. This role provides excellent customer service to alumni, parents, and others in response to phone, email inquiries, and requests for information. The Alumni Relations Development Associate also provides operational and administrative support to the Directors, and assists in coordinating and implementing a variety of logistics, activities, and projects. As part of an integrated communications strategy, this position actively engages multiple alumni and parent audiences via social and digital media to increase visibility, interactivity, brand awareness and ultimately, engagement.

Essential Functions

  • Provide administrative support to Executive Director and Senior Director, including travel, project management, calendaring, proofreading, and meeting management.
  • Collect and post content on alumni website relating to events and activities of interest to alumni and/or supported by the Office of Alumni Relations. Process and post news + events submissions submitted by alumni to the website. Collect web content, calendar postings, campus news, and alumni programs/opportunities of interest to assist in creation of monthly e-newsletter for alumni.
  • Create promotional materials, forms/applications, online event registration, invitations and notifications using various web applications, email and social media. Support on-campus events, including reunion weekend, and alumni club events by creating email blasts, calendar entries and social media promotions/postings. Support directly and indirectly alumni social media ambassadors to advocate for and disseminate news and events from the College.
  • Address inquiries to Alumni Relations office via email and phone, answering questions and disseminating to other staff when appropriate. Process customer service requests: ordering of alumni cards, account creation, and other general inquiries.
  • Submit invoices for processing, track expenses, and provide budget reports to Senior Director.
  • Utilize Raisers Edge database to track alumni participation, including registrations, attendance, email open rates, etc. Enter contact reports and other data as appropriate.
  • Work collaboratively with other administrative support staff to coordinate meetings and other events. Serve as departmental project coordinator for intra- and inter-departmental projects, meetings, and initiatives as needed. This may include, but is not limited to reserving space, catering orders, compiling and circulating supporting materials, producing nametags, managing limited mailings.


  • Bachelor's degree or equivalent combination of education and experience.
  • One to three years of experience in an office setting required; experience in the higher education or nonprofit sector greatly preferred. Demonstrated experience in marketing communications with responsibility for social media, web and digital marketing preferred.
  • Must demonstrate sensitivity to students, staff, faculty, alumni of varying backgrounds, including but not limited to, racial, ethnic, religious, gender, cultural, ability, sexual orientation and socioeconomic.
  • Must have knowledge of, or experience with digital, social media, and diverse mediums of communication.
  • Strong time management skills. Demonstrated ability to organize, prioritize and complete multiple tasks simultaneously with close attention to detail and under deadlines.
  • Must be able to work independently and as part of a team.
  • Demonstrated database entry and reporting experience (Raiser's Edge preferred) and strong computer skills in programs such as Word, Excel, and Powerpoint.
  • Ability to write persuasively and strong interpersonal skills.
  • Strong work ethic, attention to detail, and engaging nature.
  • Ability to comfortably and effectively speak in public and make presentations in meetings.
  • Ability to interact and correspond professionally with senior staff and distinguished alumni.
  • Ability to monitor and track budgets and expenses.



Work Schedule:

35 hours per week
