ORGANIZATIONAL SUMMARY:
The alumni communications and marketing officer (CMO) position is located in the USF College of Public Health (COPH) Office of Engagement and Constituent Relations (OECR). The office is primarily responsible for storytelling, increasing awareness, strengthening affinity and providing opportunities for engagement with the college. Specifically, the office includes professional staff and students responsible for: alumni relations, communications, marketing, media relations, videography and more. This position reports to the director.
POSITION SUMMARY:
The incumbent is a member of the Office of Engagement and Constituent Relations team with responsibilities for storytelling and implementing events, programs and activities that support the office goal of connecting constituents with the college, specifically alumni.
The alumni officer manages the affinity-based College of Public Health Alumni Society (COPH-AS). In partnership with alumni volunteers, the incumbent conceives, plans, implements and staffs COPH Alumni Society events and as well as alumni events on behalf of the college. Liaising between the alumni society, college leadership, other college-based alumni groups and support staff and the USF Alumni Association is expected.
Recruiting volunteers and conducting membership solicitation projects are vital to sustaining alumni engagement. The position holder engages in frequent interaction with students while they are still enrolled in the college. Additionally, they partner with colleagues on key college and university events such as orientation, graduation, National Public Health Week, homecoming and more. The alumni officer promotes the COPH through alumni storytelling. As such, the position holder will conduct communication activities including writing monthly alumni profiles and publishing a quarterly newsletter. They are responsible for integrating marketing concepts and utilizing communication vehicles that increase overall alumni awareness of and engagement with the USF COPH.
This position requires sensitive interaction with a variety of internal and external contacts. They will build and cultivate relationships with members of the COPH community, including students, faculty, staff, alumni, parents, donors, community partners and friends. Work at this level is exempt and regularly requires decisions on matters of significance. The work environment is hybrid and may include some evenings, weekends and holidays. The ability to execute in a collaborative, creative environment is expected. Domestic travel to host regional alumni events is required.
RESPONSIBILITIES:
COPH Alumni Society: Mange the affinity-based COPH-AS board of directors. Identify, develop, cultivate, support and advise alumni volunteers and committees in the planning, execution and evaluation of various social, networking, educational, athletic, cultural, student and campus-based programs and events. Provide direction and fiscal management for COPH-AS programs, including developing program-related budgets and fundraising for the scholarship fund.  Provide administrative support to alumni board members with regard to meeting planning, special events, newsletter, recruitment, etc. and attend all COPH-AS meetings and events.
Alumni engagement: Develop and execute a strategic plan for alumni engagement, volunteer growth and provide leadership training and resources for volunteer leaders. Periodic travel to regional alumni hubs to meet with volunteers, assist with events and encourage further participation and engagement with the college and recruit alumni in those regional hubs to support this effort. Coordinate and participate in college, USF Health, USF and community groups, associations, and/or activities on relevant engagement opportunities for alumni. Promote the COPH-AS to all public health students, liaise with student leaders and participate in programs, services and communications targeted to students, especially when approaching graduation. Manage all aspects of the COPH Outstanding Alumni Award program.
Communication: Oversee all communication to COPH alumni, including maintaining the alumni website, social media pages/groups, COPH-AS outreach and more in coordination with alumni leaders and communication staff. Provide guidance and assistance for alumni event marketing, including preparation of event invitations/emails, managing the quarterly alumni newsletter and submitting alumni content for the USF and USF Health alumni publications. Contribute alumni story ideas and write stories for the college newsletter, website and other publications. Partner with USF Foundation and USF Health development staff to create messaging for giving campaigns, especially efforts surrounding the COPH-AS scholarship fund. Assist the USF and USF Health alumni staff and community partners with disseminating information to public health alumni.
General alumni support: Assist with and/or attend USF Foundation, USF Health and Association of Schools and Programs of Public Health alumni events, including homecoming activities, signature events, commencement, alumni council/board meetings, volunteer leadership trainings, etc. Other alumni group functions include alumni record and listserv maintenance, contact list preparation, public speaking and customer service.
Campus Relations: Coordinate with campus entities including career services, student affairs, parent and family association, development, athletics and others on relevant engagement opportunities for alumni, including regional and local events, faculty speaking opportunities, etc.  Support and assist USF Foundation and USF Health staff with alumni engagement opportunities.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires Bachelor's degree and one year of experience related to alumni affairs, community relations or development. Four years of relevant experience may substitute for the Bachelor's degree.
PREFERRED:
Three years of experience in volunteer management, relationship building, program development and event planning. Higher education or non-profit experience is preferred.
