School of Medicine, Office of Medical Education has an opening for a full time University Staff (unclassified) Academic Services Professional/AEO Coordinator (Position is Remote Except for 1 to 2 days per week).

Jobs in this career family provide direct professional support for the teaching and/or educational service mission of the university. Functions include academic advising/counseling, student personnel administration, recruitment and admissions, registration, financial aid, faculty affairs, library services, curriculum administration, and others involving direct support of the educational mission of an academic unit.

Professionals at the intermediate level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.

At the intermediate level, duties may be more limited in scope and are performed with guidance and direction from other professionals.

Nature of Work:
The University of Colorado School of Medicine’s (CUSOM) Office of Assessment, Evaluation, and Outcomes (AEO) has an opening for a full-time Coordinator. This position will support the AEO staff and faculty with administrative and other tasks as assigned, including academic and operational activities.

Examples of Work Performed

  • Coordinate evaluations for the School of Medicine courses in OASIS and Elentra software including, but not limited to: Creating and maintaining user profiles, importing and managing evaluator classification statuses, preparing data collection instruments, importing, tracking, and correcting session matches, managing match due dates and overdue evaluations, and responding to student requests for deadline extensions.
  • Serve as the primary point of contact for OASIS and Elentra users including, but not limited to: Managing the Evaluation Office email inbox, trouble-shooting login and other issues, and responding to requests to produce reports and correct matches.
  • Perform routine maintenance in OASIS and Elentra including, but not limited to: Auditing profiles for duplicates, tracking and auditing profiles without faculty appointments, and recreating matches that were deleted in error.
  • Collaborate with Coordinators to ensure timely distribution of evaluations. 
  • Create summary reports of evaluation information.
  • Serve as custodian for the NBME Shelf exam proctoring gift card program.
  • Prepare for Essentials Core and NBME Shelf exams including, but not limited to: Recruiting proctors, tracking students, creating and distributing proctor exam-day materials, maintaining exam-related Smartsheets and other databases, and creating calendar invitations.
  • Follow-up with proctors after exam administrations to ensure incident reports were submitted, proctor videos were uploaded, and Smartsheet(s) have been updated.
  • Review exam incident reports, watch proctoring videos, and escalate any potential issues to the Assessment Specialist.
  • Assist with exam production including creating schedules for faculty, reviewing questions and exams, and performing quality control checks, as requested. 
  • Proctor Essentials Core and NBME Shelf exams.
  • Create and/or review and maintain process documentation for the AEO Office.
  • Provide administrative support for the department, including but not limited to: Ordering office supplies, purchasing and renewing software subscriptions, scheduling and coordinating team meetings, and taking meeting notes. 
  • Coordinate focus groups and other meetings hosted by AEO, including but not limited to: Inviting and tracking attendees, reserving rooms and resources, and ordering lunches.

Qualifications

 

Minimum Qualifications:

  • Bachelor's degree from an accredited institution: Education, business administration, management, communications, or a related field
  • 1 year of experience working in a higher education environment

Required: Applicants must meet minimum qualifications at the time of hire.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Preferred Qualifications:

  • Experience working in an academic medical environment
  • Project management experience in higher education
  • Experience working with the following learning management tools: OASIS, Canvas, and Elentra

  • Proficiency in Microsoft Office
  • Ability to learn and use multiple systems and interfaces
  • Excellent oral and written communication skills
  • Attention to detail and the ability to ensure accuracy in work
  • Excellent interpersonal skills and the ability to establish rapport with a wide variety of individuals

Work Environment:

It is anticipated that this role will work remotely for the remainder of the 2020/2021 Academic Year.

After that point, on-campus work up to 25% time may be required as deemed necessary and appropriate by the Director of AEO.

Salary and Benefits:

The salary range (or hiring range ) for this position has been established at $39,834 - $50,669

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
