Position Summary:

The Advancement Associate will provide high-end administrative and program support to the Assistant Dean of Advancement and the efforts of the advancement team on behalf of the College of Architecture and Urban Studies.

Working closely with and under the guidance of the Assistant Dean the primary responsibilities of the Advancement Associate will be to:

Administrative Management:
• Provide front-line customer service to faculty, staff, and students; greet visitors and maintain appropriate contact with public, university, and private officials, executives, major donors, staff, and others; provide professional and courteous telephone support
• Manage calendar and scheduling for that Assistant Dean of Advancement
• Manage travel logistics and reimbursements for the advancement team
• Coordinate central advancement and CAUS advancement team activities
• Assist in coordinating foundation funds activity
• Maintain files and produce agendas
• Maintain all SOP’s on behalf of the CAUS advancement team
• Draft correspondence on behalf of Assistant Dean.
Prospect Research/Portfolio Management:
• Prepare correspondence and proposals
• Perform independent research that supports key initiatives, special events or programs; may work on sensitive issues requiring confidentiality and a professional demeanor
• Provide data entry and management using Blackbaud CMS
• Maintain files using SharePoint
• Handle schedules and logistics for donor visits, including agenda preparation, reports, meetings, etc.

Donor Stewardship Management:

• Coordinate donor stewardship activities for the Advancement office, including the acknowledgement process and other donor-related mailings and correspondence
• Support scholarship stewardship process with donors

Required Qualifications:

• Experience providing administrative support in an academic or professional office environment
• Excellent time management skills and the ability to prioritize work
• Excellent communication skills
• Strong organizational skills with the ability to multi-task
• Demonstrated experience with Microsoft Word, Gmail Suite, and Excel
• Ability to work both independently and as a team
• Ability to use discretion in working with confidential information
• Display good judgement and diplomacy skills in working with various levels of both internal and external clients

Preferred Qualifications:

Experience in higher education setting
• Demonstrated experience with Blackbaud CMS or similar applications
• Demonstrated experience with SharePoint or similar applications
• Demonstrated experience with Adobe PhotoShop and InDesign
