ORGANIZATIONAL SUMMARY:
The College of Arts and Sciences Advancement area is impactful on student success and faculty research by supporting academic scholarships, study abroad scholarships, undergraduate research, faculty research / scholarship, departments, centers, institutes or programs. CAS-Advancement secure private support for the College of Arts and Sciences and priorities set by the Dean and provide engagement and stewardship for all donors.
POSITION SUMMARY:
Responsible for administrative support for development activities which involve quality customer service with donors, potential donors, and community contacts. This position is responsible for maintaining a donor data bases, maintaining Foundation funds and manages development budgets. Coordinating and implementing program(s) for gift acknowledgment and annual stewardship reporting are duties the position will perform. In addition, this role involves mail, telephone or personal contact with external communities requiring discretion in the recognition of specific donors or community organizations.

RESPONSIBILITIES:
Donor recognition and stewardship: Responsible for coordinating acknowledgment communication and impact reports for all donors in a timely manner. Work with development officers, faculty leadership, department staff and USF Foundation donor relations to execute customized stewardship initiatives for donors. Manage donor gift orders and track inventory; prepare specialty gifts for acknowledgment, recognition and stewardship purposes. Provide customer service to donors. Serve as resource on donor acknowledgment for colleagues within college.
Gift processing and fund management: Accept, record and deposit private gifts designated to CAS. Serve as college liaison to the USF Foundation business office on procedures, processes and issues related to all CAS Foundation funds. Attend educational trainings offered by USF Foundation on fund management, budgeting and other related topics. Provide gift history and fund updates to CAS development and academic departments, centers and institutes. Serve as liaison to the USF Foundation central records and submit updates and share donor and giving details as needed. Serve as resource for Foundation fund management for fund administrators in the college.
Office management: Responsible for professional work and administrative duties at the direction of the senior director. Serve as primary support for senior director, director, and assistant director by maintaining calendars, manage travel arrangements, scheduling meetings and notifying participants as needed. Maintains events and donor meetings calendars, keep comprehensive invitation lists, and schedules room and support services for events.
Donor records, constituent communication and research requests: Responsible for running confidential reports on donors and prospects and entering donor activity using CRM and Report Explorer. Serve as liaison for USF Foundation advancement operations and submit updates and requests related to constituents attending development events, mail and email lists, giving pages linked to USF Foundation funds, and other various reports and activity as needed.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree with at least 1 year of experience directly related to the duties and responsibilities specified. Work experience may be substituted for the degree requirement on a year for year basis.
PREFERRED:
Experience working in a fundraising, advancement, or higher education environment.  Knowledge/experience in Banner/Oasis and Crystal Reporting preferred.
