Job Summary:

The Admissions and Recruitment Coordinator will be responsible for overseeing the processes of recruitment, reviewing applications from the Texas Medical & Dental Schools Application Services (TMDSAS), as well as interview evaluation and assessment of application competencies for entry to the Medical Doctor (M.D.) program for the School of Medicine. The position provides administrative support functions essential to the operations of the School of Medicine Admissions Office and the Admissions Committee. 

Major Responsibilities / Duties / Critical Tasks:

Admissions

·       Counsel and advise potential applicants on admissions requirements for the SOM.

·       Provide contact with applicants who call, email, and/or come to the Office of Medical Admissions seeking assistance and triage applicant requests to appropriate resources.

·       Assist with overseeing the processing of more than 6,000 applications from the Texas Medical & Dental Schools Application Services (TMDSAS)

·       Assist with the preliminary screening of applications to determine the applicants who will undergo further review for interview eligibility.

·       Assist with designing and evaluating survey materials for applicants, accepted students, interviewees, etc.  Analyze and distill data from surveys to inform the admissions process.

·       Monitor and maintain files for changes and completion.

·       Update applicants’ records in database with any new information from applicants.

·       Document fee waivers, policy exceptions, and any unique dispensations involved in an applicant’s candidacy. Communicate with associate deans and director regarding exceptions/accommodations.

·       Assist associate dean and director with evaluative metrics and research projects focusing on holistic review, mission-driven admissions, and access/inequality in medical education.

·       Assist with the management and coordination of student interviewing schedules, tours, housing, information, and meals. Work closely with medical staff, students, and other members of the SOM community to ensure prospective applicant’s needs are met and questions are answered.

·       Interpret admissions, SOM, Campus and University policies, regulations, and rules insofar as they affect the admissions process.

Recruitment

·       Attend regional and national admissions fairs sponsored by the Association of American Medical Colleges (AAMC) and/or School of Medicine to support the recruitment of highly qualified diverse applicants.

·       Attend recruiting activities locally, which include but are not limited to, presentations, recruiting events, second visit program, and orientation.

·       Attend Recruitment Weeks in South Texas and DFW areas.

·       Provide outreach and function as a liaison to premedical advisors at various colleges and universities to ensure that they are updated on admissions standards and requirements and pathway opportunities.

·       Coordinate with Pre-Medical Advisors/Student Organizations to schedule visits to present with Pre-Medical/Health students.

·       Host on-campus activities with Pre-Medical/Health programs.

·       Perform other related duties and participate in special projects as assigned.

Qualifications

 

Required Education / Experience:

·       Bachelor’s degree required.  Master’s degree preferred.

·       Minimum of 2 years’ experience in higher education enrollment management or student affairs preferred.  Experience in medical education preferred.
