The Admissions and Enrollment Coordinator provides support to the Graduate (MSW) and Undergraduate (BASW) coordinators as well as to students in the Tulsa BASW and MSW Programs. Tasks may include, but are not limited to,

  • Assisting with coordination of admissions, including developing and implementing process training 
  • Coordination of admissions and retention activities 
  • Coordination of student-related events
  • Maintenance of student database/files and reporting on student data
  • Coordination of course scheduling
  • Assist with tracking course development and instruction 
  • Student advising
  • Scholarship management
  • Assisting with calendars and scheduling
  • Other duties as needed

Detailed Job duties:

  • Recruitment, Admissions, Enrollment & Retention
    • Oversee the graduate (GR) and undergraduate (UG) admission process by disseminating admission information, maintaining regular communication with applicants, and analyzing admission data to update and inform the administrators
    • Utilize databases and programs to maintain, update and report accurate student records 
    • Responsible for analyzing trends in the student recruitment and retention process to inform decisions around the creation of the class schedule  
    • Comply with university schedule change notifications 
    • UG and GR admissions lead (SM Apply, SLATE): liaison between the school and the Graduate College Admissions Office
    • Work with UG Coordinator to build and develop partnership, agreements with community partners and community colleges.
    • Work with Administrators and OU-Tulsa Marketing and Communication office to develop and maintain up-to-date recruitment materials
    • Develop and deliver training and support for faculty review of applications 
    • Assist coordinators with petitions or other special correspondence to deans 
  • Student Services 
    • Handle graduate & undergraduate student enrollment with fairness to students and faculty 
    • Advise current and prospective students regarding educational opportunities, policies and procedures, including university deadlines and requirements
    • Advise prospective students regarding admission requirements, financial assistance and transfer credit evaluation as appropriate  
    • Coordinate and host enrollment sessions for current and new students with GR/UG coordinators
    • Coordinate, promote and deliver some programs for recruitment, open houses, orientations, and other student events  
    • Create, establish, and administer enrollment sessions for newly admitted students 
    • Manage communication to current students, prospective students, and external stakeholders: informational items, deadlines, enrollment, program changes, events  
    • Work with GR/UG coordinators to assign and notify advisors and inform students 
    • Communicate and interpret university deadlines and requirements to students 
    • Advise undergraduate students each semester for enrollment requirements 
    • Work with Grad/UG Coordinator to coordinate course schedule prior to each semester 
    • Schedule rooms for student events 
  • Program Modifications
    • Work with Grad/UG coordinator to submit paperwork for program changes, updates in university bulletins & documents, program modifications, new course or numbers 
    • Work with enrollment services to ensure courses are accurately reflected in the university data system
  • Scholarship – student coordination piece  
     
 

Job Requirements

Required Education: Bachelor's degree or an equivalent combination of education/job related experience, AND

  • 0 to 24 months experience in student services and recruiting 

Skills:

  • Basic math and data analysis skills
  • Proficient in Microsoft Office
  • Proficient navigating and maintaining databases
  • Ability to speak, read, and write clear, concise English
  • Detail oriented for accuracy of data and information
  • Highly organized and able to handle multiple projects and deadlines
