Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Position Summary Information


Job Description Summary
The Undergraduate Admissions Counselor participates in the entire undergraduate admissions process for Dodge College of Film and Media Arts (DCFMA). Under the direction of the Dean and Director of Admission, duties include coordinating processes for reading and reviewing applications, maintaining and analyzing reports, communicating regularly with the university admissions office, responding to inquiries, maintaining current admissions information on the website and participating in recruitment events. Assist with faculty application review process: allocate files to faculty, track reviewers schedule and progress, provide troubleshooting and assistance as needed. Assist with the review of applicant files. Collect recruitment and admissions data. Oversee and manage the admitted student outreach efforts including email communication, phone calls, visitors, and undergraduate visit opportunities.
Responsibilities
Dodge Admission Duties 
  • Assist with faculty application review process: allocate files to faculty, track reviewers schedule and progress, provide troubleshooting and assistance as needed. 
  • Assist with the review of applicant files. Collect recruitment and admissions data. Oversee and manage the admitted student outreach efforts including email communication, phone calls, visitors, and graduate visit opportunities. 
  • Coordinate and participate in off-campus recruiting events including college fairs, panels, and internal university events. 
  • Provide information and guidance to prospective applicants and families on DCFMA processes and eligibility requirements. 
  • Provide support for DCFMA events including Preview Day and Discover Chapman Events; oversee staffing of students, marketing and communication and assist with day-of coordination.
  • Serve as a liaison between Dodge and the Admissions Office. Attend all undergraduate admission meetings and communicate regularly with other liaisons.
  • Manage file reading case load including presentations of assigned applicants to admission committee. Participate as a member of the University Admission Committee. 
  •  Manage special projects as assigned by director. 
  •  Develop individualized student admissions programs to ensure conversations between the applicant and the University remain positive and productive. 
  •  With training, compile data for planning, implementation and evaluation of outreach efforts. Participate in the strategic planning of university outreach efforts. 
  •  Participate in professional development activities including conferences and affiliations (currently WACAC Admission Practices Committee member). 

Dodge Admission Office Management 
  • Manage inquiries from prospective students and families through phone and email, including troubleshooting and resolving concerns. 
  • Ensure “customer” satisfaction and timely responses. 
  • Oversee all Dodge admission staff that are using Unibuddy to ensure timely responses and customer satisfaction. Supervise Dodge admission student staff including recruitment, hiring, training, and scheduling. Oversee and manage schedule for DCFMA tours on “Slate” system.
Required Qualifications
  • Bachelor’s degree or equivalent experience
  • Excellent written & oral communications skills with extreme attention to detail
  • Proven ability to handle simultaneous deadlines, communicate effectively and maintain a positive composure
  • Strong interpersonal skills to interact with diverse constituents at all levels
  • Strong technical skills to learn and use Chapman’s enterprise applications
  • Skilled in analyzing, interpreting and reporting data, with the ability to solve problems and provide accurate information and recommendations
  • Interest in higher education admissions process
  • Skills in record maintenance
  • Strong knowledge of Microsoft Office and web applications
  • Proven ability to multi-task in a fast-paced environment
  • Ability to show self-initiative
  • Ability to work as a team member
  • Ability to demonstrate tact and diplomacy, maintain confidentiality and follow FERPA regulations
Desired Qualifications
  • Basic knowledge of Dodge College and Admission policies and eligibility requirements
