Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Position Summary Information


Job Description Summary
Reporting to the Department Chair, coordinates the Doctor of Physical Therapy graduate program’s recruitment, admission and registration for new student processes. Supports the assessment and admission decisions for DPT Applicants, and supports special events, meetings, and program activities. General administrative duties such as coordination of work among Graduate Assistants and providing guidance to admission, recruitment, and alumni engagement activities, and provide event support to the department. Performs other duties as assigned.
Responsibilities
Coordinates the Doctor of Physical Therapy graduate program recruitment, admission and registration for new student processes.
  • Works with Chair developing recruitment plans and strategies that align with the University, central Graduate Admissions, Crean College and Physical Therapy’s goals, missions and values.
  • Works with the Chair on Program Assessment and Accreditation to address issues related to Admissions and Departmental events. Collaborates with Graduate Admissions and Crean College Strategic Marketing and Communications staff to support promotions that best attract quality prospective doctoral students.
  • Supports and provides communications, training, materials, scheduling and other logistical support to enhance recruitment and conversion efforts.
  • Provides information to applicants on admission policies and procedures.
  • With training, applies transfer credit guidelines in review and assessment of applications as appropriate.
  • Contributes to admission decisions, especially decisions associated with referrals, and provides technical guidance, as required. Supports policy interpretation and review of exception requests, as deemed appropriate.
  • Serves as the main liaison to the DPT central application site. Coordinates the transition from admissions to registration for new students.
  • Works with Students’ Success Committee and Department Chair by providing meaningful data for critical decision-making. Serves as liaison for the DPT program.

Applicant Assessment Support 
  • Schedules and facilitates prime locations, and video recordings in collaboration with IS&T.
  • Works with faculty to construct question banks for assessment of applicants.
  • Supports and informs admissions team on new assessment protocols.
  • Encourages group dialogue with collaborators at PT programs to discuss the benefits of incorporating assessments and ensures a Holistic admissions’ process.

 Coordinate special events, meetings and program activities
  • Prioritizes and oversees recruitment and admission special events, as well as alumni engagement activities, including continuing education workshops, job fairs, and other professional association meetings.
  • Coordinates logistics for open houses, orientations, graduate fairs and admit luncheons.
  • Assists with the alumni engagement and public relation events in promotion of and expansion of the professional network for the DPT program. 

Performs administrative responsibilities
  • On-Boards, trains and supervises student workers assigned to DPT to support admissions, alumni and special events.
  • Guides graduate students and respective staff in procedures to contact and follow-up with applicants, liaise with Admissions, process applications online, etc.
  • Edits and maintains procedural manuals for the Physical Therapy Department
  • Supports alumni engagement and outreach activities of the program.

Required Qualifications
  • Bachelor’s degree or equivalent combination of education and experience.
  • A minimum of three years related experience in student recruitment, admissions or registration, preferably at a higher education institution. Prior related experience in a physical therapy program is desirable.
  • Proven ability to work independently and make effective decisions appropriate for an exempt employee and for the position level.
  • Good analytical skills to evaluate data, anticipate and resolve problems, suggest alternatives and make decisions and/or recommendations as needed.
  • Good interpersonal skills with the ability to interact with all organizational levels including administration, faculty, staff, students and outside community,
  • Excellent oral and written communication skills including good use of grammar.
  • Proven ability to comprehend a process and/or procedure and take a given task from the beginning to completion Ability to compose letters, memos, program plans and goals as well as the skills to edit and proofread documents for clarity, accuracy and completeness.
  • Strong computer skills to use Microsoft Office Suite applications.
  • Ability to plan, coordinate and execute logistics for events Skills to perform mathematical. calculations and evaluate previous coursework/testing.
  • Ability to supervise, train and evaluate student workers.
  • Ability to prioritize information and events while completing tasks in a timely manner.
  • Analytical skills to evaluate effectiveness of student affairs procedures and recommend changes. Sensitivity and understanding of individual student and family needs and cultural diversity.
  • Ability to harvest, collate, analyze and interpret admissions and related data.
  • Ability to understand and apply policies, procedures and admissions criteria, including but not limited to FERPA.
  • Strong commitment to customer service, able to maintain confidentiality and adept at teamwork.
Desired Qualifications
  • Technical skills to learn and use enterprise, college level and departmental tools and systems, such as PTCAS, WebAdmit, CPI, Campus Solutions, PeopleSoft, CRM on Demand, Hobsons, ImageNow, Blackboard, Taskstream and 25Live.
  • Demonstrated knowledge of student recruitment, admission, registration or related activities, with the ability to become skilled in the Doctor of Physical Therapy program requirements.
