Job Overview

The Admissions and Financial Aid Officer serves as a primary contact for prospective and current students, maintaining a portion of the 17,000+ applications for six programs within the School of Medicine and responding to questions and concerns regarding M.D. admissions/aid policies, procedures, course requirements and other related information.

Additionally, the Admissions and Financial Aid Officer:

  • Communicates our mission and vision with the purpose of maximizing the quality of applicants to the medical school through graduate fairs, virtual fairs, presentations, and social media.
  • Participates in evaluating application credentials on a portion of the completed files for a first-round application cognitive and non-cognitive review based on general criteria established by the Committee on Admissions and the Senior Associate Dean for Admissions. 
  • Periodically presents, through formal presentations and informal conversation in a variety of settings, an overview of the School of Medicine (philosophy, curriculum, school resources, and student life) and the application process to medical schools.
  • Ensures successful management of the application management system and regularly interacts with outside vendors, the general public, prospective applicants, and current applicants.
  • Serves as a primary contact for students regarding interview day, along with the other Admissions and Financial Aid Officers, and works closely with faculty and staff to ensure successful execution of interview days.
  • Meets with interviewed applicants in a group setting for a formal welcome and is available to meet individually with the interviewees who have further questions regarding the application process.
  • Ensures proper implementation of federal regulations and university policy regarding both federal and institutional financial aid.
  • Gives presentations and informational sessions regarding financial aid to applicants and medical students.

Work Interactions and Work Mode Designation

This staff position reports directly to the Associate Dean for Admissions and Financial Aid. The Officer collaborates and shares responsibilities with other Admissions and Financial Aid Officers and maintains a close working relationship with other administrative offices within the School of Medicine, to include Advancement, the Dean for Medical Education, Student Affairs, and the Registrar. This position assists the Associate Dean for Admissions and Financial Aid through attendance at official School of Medicine functions such as Parent’s Weekend, Second Look Day, Office of Advancement-sponsored student and alumni events, and medical student class meetings. Further, the incumbent participates in in professional development seminars and federal training where necessary.

This position has been designated as Telework. Requirements and Qualifications

  • Bachelor’s degree
  • Experience with MS Excel and Access
  • Working knowledge of student information and application management systems
  • Excellent and inclusive oral and written communication skills, as well as strong organizational skills and attention to detail
  • Demonstrated ability to work effectively and professionally, both independently and as part of a team
  • Ability to multi-task and effectively prioritize work in order to meet varying deadlines in a fast-paced environment

Preferred Qualifications

  • 2+ years of experience working in Admissions and/or Financial Aid
  • Experience working with SCT's BANNER
  • Some experience with web and/or graphic design
  • Experience working with large data sets and data reporting
  • Demonstrated knowledge of FERPA

The expected pay range for this position is 44,022 - $55,000 per year.
