Admissions Administrative Assistant

The Admissions Administrative Assistant (AAA) must be knowledgeable of basic administrative duties and handling customers effectively and efficiently on the phone, through video and in person. The AAA has a great deal of interaction with customers and staff, and should have the ability to multi-task, prioritize duties and exhibit excellent communication skills both written and verbal. 

This position reports to the Director of Admissions (DOA).


The Admissions Administrative Assistant will also be responsible for, but not limited to, the duties and tasks listed below:

  • Report to Director of Admissions, Assistant Director of Admissions (as applicable).
  • Greet all customers in friendly manner.
  • Keep reception area neat and stocked with information.
  • Follow all procedures as outlined in department manuals and posted directives.
  • Post and send mail as needed.
  • Check inventory for print materials, and office supplies weekly.  Replenish as needed.
  • Request all office supplies.
  • Keep copy/supply/break room organized, neat and stocked.
  • Approve weekly payroll.
  • Complete daily reconciliations of reports.
  • Process all admissions mailings, email and text campaigns.
  • Replenish materials for all department staff.
  • Keep all admissions documents current.
  • Address and route student concerns to appropriate manager for resolution.
  • Commit to achieving team start goals by actively supporting the team towards success.
  • Other duties as assigned by Director of Admissions, Assistant Director of Admissions (as applicable).


  • 2 years of experience in customer service, administrative support.
  • Some college or degree preferred.
  • Proficient computer skills in Word, Excel, database software and use of Internet.
  • Punctual, responsible, ethical and a team player.
  • Varied shifts Monday - Friday - 8:00AM-5:00PM, 9:00AM-6:00PM, 11:00AM-8:00PM Saturday - 8:00AM-5:00PM


  • Non-Exempt - hourly position
  • 14.00-17.15/hr DOE
  • Compensation dependent on experience, knowledge and education level.
