Job Description

Works under direction and performs highly complex work planning, directing, and coordinating services directly related to management or general business operations to include the exercise of discretion and independent judgement with respect to matters of significance.
Responsibilities:

-Serves as personal assistant and liaison to the Department Head of Food Science .  Assists with long range planning and scheduling activities and meetings for Department Head.
- Plans and coordinates logistical and administrative support for planning events, meetings or other functions and provides on-site support. Organizes, schedules and takes minutes at monthly
faculty meetings including on-site support.

-Researches, compiles and applies highly sensitive information, making evaluative judgments on appropriate data to use. Analyzes requirements for projects or initiatives. Coordinates and
monitors action items.
-Liaison for Faculty Affairs-coordinates and processes faculty recruiting requests, advertises vacant faculty positions and processes documents required for faculty new hire and non-tenure and tenure-track requirements.
--Liaison for Agrilife HR-coordinates and processes faculty recruiting requests, advertises vacant faculty positions and processes documents required for faculty new hire non-tenure Research.
- Prepares faculty offer letters and faculty salary letters.

-Completes the Faculty Workload report.

-Enters the faculty credentialing information for courses.

-Graduate faculty administration (nominations and annual review)

-Data Entry to Agrilife People

-Departmental telecommunications, IT, and facilities work orders and departmental purchases.

-Approvals on behalf of the Department Head ( grade changes, CARS/Curriculum approvals).

-Coordinate the External Advisory Board Committee activities ( maintain list of members, schedule meetings and events, record meeting minutes.

- Assists Department Head with faculty annual reviews. Includes scheduling, document preparation and approval.
-Coordinates and assists with the faculty promotion and tenure process. Maintains records according to policy.
-Monitors, reviews, and evaluates compliance with projects, program policies and procedures, statutes, and rules.

-Performs of a variety of technical, training, research, planning, policy, program assessment, and administrative activities.
-Administers and provides oversight to various departmental programs. Provides consultative services and technical assistance in planning, implementation, and monitoring of programs.
-Prepares, identify, collect, analyze, and report data. May develop and maintain financial accounts budget information.
-Analyzes and studies internal processes and operations and recommends and implements procedural or policy changes.
-Monitors, reviews, and evaluates compliance with projects, program policies and procedures, statutes, and rules.
-Prepares comprehensive reviews of budget, grants, literature, statutes, rules, policies, reports, studies, and specialized projects.
-Plans and coordinates policies for activities, and assists in interpreting and ensuring compliance with federal, state, and local laws, rules, and regulations.
-Prepares and reviews the preparation and review of operational and special reports.
-May develop regulations and procedures.

-Prepares and reviews the preparation and review of operational and special reports.

- Coordinates administrative support functions.

-Performs and manages space inventory department and eBeam center.

- Creates and maintains databases, prepares presentation and communication
material.
-Coordinates and purchases guest parking permits for departmental administration.
-Maintain departmental email listserv.

-Other additional duties as required.


Required Education and Experience:
-Bachelor’s degree in applicable field or equivalent combination of education and experience.
-Seven years of related experience.


Required Knowledge, Skills and Abilities:
-Knowledge of local, state, and federal laws related to the program area.
-Ability to multitask and work cooperatively with others. -Strong verbal and written communication skills.

-Strong interpersonal, organizational, and planning skills.

-Ability to present information clearly and concisely.

--Ability to comprehend and interpret policies and procedures.
