Work Schedule
Monday – Wednesday, 8:00 am – 4:30 pm; , Thursdays 8:00 am — 2:30 pm with occasional evening and weekend hours required, as necessary.
Primary Purpose of Position
Manages all funds, budgets, purchasing, personnel, and other administrative support for the Botanical Gardens unit.
Minimum Education/Experience
Required Minimum Qualifications:
Graduation from high school and one year of related office experience; or an equivalent combination of education
and experience.
University Preferred Qualifications:
Graduation from high school and demonstrated knowledge, skills, and abilities gained through three years of specialized office experience or an equivalent combination of education and experience.
Essential Job Duties
  • Monitor, manage, and make regular reports on all (12 active) unit funds including general, foundation, discretionary, and grants and make budgeting decisions independently.
  • Process donations from individuals and foundations, coordinating independently with the university development office to assure proper assignment and reporting.
  • Maintain responsibility for purchasing decisions and processing for department, and adjust budgets independently.
  • Maintain responsibility for the administration of the Gardens membership fundraising program for unit, interpreting procedures and initiating actions.
  • Initiate processes and maintain records for all personnel in unit: permanent staff, temporary, student workers and volunteers.
  • Manage all accounting records, cross-referencing in a variety of applications for accuracy.
  • Responsible for records associated with Continuing Ed classes offered at the Gardens.
  • Administer membership program, requiring full understanding of unit mission and staff activities.
  • Independently draft communications for membership program as well as some educational and plant sale communications, including use of graphic design programs.
Other Work Responsibilities
  • Manage database records of donors, process acknowledgements, initiate solicitation and stewardship mailings.
  • Participate in unit planning requiring an understanding of the diverse programs in the unit’s internal and public outreach operations.
  • Independently draft written communications for other unit needs such as sole source justifications, and reports to outside entities such as the Gardens Advisory Council as necessary.
  • Other duties, as assigned.
Departmental Preferred Experience, Skills, Training/Education
  • Bachelor’s degree in accounting or other financial discipline is desirable.
  • Experience working in a college or university setting is preferred.
  • Experience using Banner or other related student information and college financial systems.
  • Prior administrative assistant experience.
  • Customer service experience is highly desirable.
  • Ability to effectively interact with students, faculty, and university staff is strongly preferred.
  • Strong computer software skills including knowledge of MS Office Suite and Google Suite is preferred.
  • Strong written and oral communication skills.
