The Division of Food, Nutrition and Exercise Sciences is seeking a motivated, proactive, highly organized and detail oriented individual. This position is ideal for someone who will thrive in a fast-paced environment and who will work hard to ensure optimal administrative support to the faculty, staff, and students in our division. It is expected that the incumbent will conduct all activities in accordance with the Civil Rights Acts, Title IX, Rehabilitation, Americans with Disabilities Act and local, state, and region affirmative action plans.
40% Administrative Support
May serve as first point of contact for the Division, greeting visitors and directing incoming phone calls as appropriate for Food Science, and Nutrition and Exercise Physiology.
Provide faculty support for each academic program (Food Science and Nutrition and Exercise Physiology) Examples include making copies, shredding documents, reserving rooms etc.
Sort and distribute mail for the Division.
Assist with travel arrangements.
Maintain Division directories and email list serves.
Assist with Divisional events/programing (seminars, workshops, etc).
Assist with EHS (Environmental Health and Safety) compliance.
50% Academic Support
Support Director of Graduate Studies (DGS) including but not limited to:
Prospective/New Student Communications.
Downloading applications and updating applications in SLATE.
Completing and sending admission and funding letters; upload into SLATE.
Graduate Student Orientation (create agenda, print materials, arrange food handler permit presentation).
Generate and distribute permission numbers for graduate students as needed.
Course Evaluations
Prepare, distribute, and collect all course evaluations every semester for each degree program (Food Science and Nutrition and Exercise Physiology).
Maintain files as necessary.
Schedule of courses including assigning GTA and graders to appropriate courses.
Collect syllabi for academic programs and maintain electronic files.
Make room reservations including scheduling of classrooms for non-centrally scheduled classes.
5% Business Support
Ordering and stocking of supplies for buildings/programs, faculty, and staff.
Copier Operation: order supplies and create access codes for faculty, staff, and students.
Oversee sending items to surplus. Working with faculty and staff regarding what items need to be sent to surplus and scheduling pick-up.
5% Other duties as assigned
This position works directly with faculty and staff and is 100% on site.
