JOB DESCRIPTION AND POSITION REQUIREMENTS:


The Department of Physics in the Eberly College of Science is seeking an Administrative Support Manager-Senior Manager. This position will report directly to the Department Head and will be responsible for managing and overseeing the operations and administration of the Department including human resources, finance, undergraduate and graduate programs, and day-to-day problem solving in a variety of areas.

Duties include:

  • Handle confidential materials related to salaries, recruitment of faculty, budget planning, promotion and tenure, and complex foreign national matters

  • Assist the Department Head with forecasting and projecting budgetary expenditures

  • Assist faculty with the management of their research funds including overseeing proper expenditures of budgets and recommend funding plans

  • Hire, supervise, train and evaluate assigned staff; determine workloads

  • Assist Department Head in dealing with personnel issues ensuring adherence to University policy

  • Advise Department Head and faculty of University policies and procedures

  • Conduct research, assemble information, write and edit various publications, e.g. annual and periodic reports, audits, etc.

  • Prepare and process human resources forms and letters including faculty offer letters and reappointments

  • Prepare salary supplement for various faculty each semester

  • Provide administrative support to the Department Head on the salary increase processes, budget planning and review, strategic planning, marketing, rolling out new University initiatives, as well as special projects

  • Track financial gifts to the department. Maintain files and spreadsheets


Education and Experience

This position will be filled as Administrative Support Manager, Senior Manager, which requires an Associate's degree or higher plus 10+ years of related experience which includes 3+ years of supervisory experience, or an equivalent combination of education and experience.

Additional Information

This is a very large and complex department and will require an individual who thrives in a fast-paced and dynamic environment. Excellent verbal and written communication skills are vital; interpersonal, management, supervisory, problem solving, and organizational skills are required. Knowledge of university policies and procedures relating to financial and human resources areas are preferred, but applicants with experience in other larger organizations are encouraged to apply. A successful candidate would need to be able to work effectively with a diverse group of people. The successful candidate must be able to act independently as a member of the management team, as well as be proficient in Microsoft Office. Experience with SIMBA, LionPath and Workday is preferred.

The salary range for this position, including all possible grades is:

$56,200.00 - $81,500.00
