Position Summary

The Dean’s Office in the College of Engineering is responsible for all administrative and managerial functions of the College, which include overseeing the operations of the College’s four (4) departments, which have a total of (7) academic programs, coordinating work of the College’s committees, managing budgetary and financial matters, providing faculty and staff support, working with other University departments to integrate College of Engineering functions, providing student services, supporting the College's outreach and research efforts, and managing the development activities for the benefit of the College and its students.

The Administrative Support Coordinator provides administrative support to the Dean's Office to ensure that the responsibilities of the College are met. This position is responsible for the management and execution of the following various projects: the functions of the front office in order to direct the flow of incoming visitors, students, faculty, staff and incoming phone calls, the arrangement of meetings to enhance communication between the Dean's Office and the University, industry, faculty, staff and any other contact; classroom scheduling between the Dean's Office, Departments, and the University to ensure the best usage of rooms available, to resolve class conflicts, and to meet stringent deadlines; processing of J-1 Visa documents for visiting scholars in a timely manner in order to meet starting and end dates of their visits; administrative aspects in the gathering of the University Grants Program (UGP) applications from faculty; update CurricUnet faculty accounts; submission of Special Topics Proposals; providing support for the Associate Dean for Undergraduate Studies; serving as telephone coordinator; handling parking permits, key issue and building access coordination. These projects are an independent responsibility from the beginning phases to the final phases. Duties are done under general supervision.

This is a full-time (1.0 time-base), benefits eligible, permanent (probationary) position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Specialized Skills Required

  • Experience working at a University.
  • Solid knowledge of MS Word, Excel, Outlook and Google calendaring system.
  • In depth knowledge of SDSU Webportal, AdAstra, SIMS, AppExpress and PeopleSoft.
  • Ability to manage and coordinate many different administrative support tasks and projects with frequent phone and visitor interruptions.
  • Ability to establish priorities and complete projects accordingly with accuracy and attention to detail.

Preferred Qualifications

  • Experience using social media platforms like LinkedIn, Facebook, Instagram, etc.

Compensation and Benefits

Starting salary upon appointment is not expected to exceed $3,620 per month. CSU Classification Salary Range: $3,352 - $5,639 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
