Position Summary
The Administrative Support Coordinator is responsible for the support, operation, and continuity of the graduate and undergraduate programs within the department. Duties consist of assisting the chair with all matters relating to the graduate and undergraduate programs including handling routine correspondence by interfacing with the Division of Graduate Affairs and Undergrad Advising and Evaluations and Major Advisors at the Center for Student Success in Engineering. The position will also maintain graduate and undergraduate student files and records, and assure that the department meets all administrative deadlines. The Administrative Support Coordinator is responsible for assisting the graduate advisor in all matters related to the graduate program, assists graduate and undergraduate students in filing proper forms, assists faculty with copying exams and proctoring make-up exams, and will order office supplies for the faculty offices as well as the department. They will also manage hiring and payroll processes for Student Assistants and will monitor the payroll monthly budget.
The Administrative Support Coordinator will perform web design, update and maintain the Electrical and Computer Engineering website and will have the responsibility of creating promotional materials including newsletters.
This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.The individual hired into this role will work on campus at SDSU in San Diego.
Department Summary
The Department of Electrical and Computer Engineering is one of four departments in the College of Engineering. The department offers two accredited programs leading to B.S. degree in Electrical Engineering and B.S. degree in Computer Engineering. The department also offers three Master's Programs leading to M.S. degree in Electrical Engineering, M.S. degree in Computer Engineering, and Master of Engineering Degree. The department also participates in the Joint Doctoral Program with UCSD. The department also offers the online MS EE and BS CompE degrees (MS CompE to start in Fall 2024) through the SDSU Global Campus. The department is in the process of getting approval to offer a B.S. degree in Electrical Engineering at SDSU Imperial Valley campus. Currently, the department has 800 students in the undergraduate and graduate degree programs. The department currently has 21 full-time faculty including the Department Chair. The part-time adjunct and affiliated faculty vary from semester to semester. There are three department staff positions, including this one.

Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Key Qualifications

  • Proficiency in using MS Office (Excel, PowerPoint & Word) and database software.
  • Experience in the use of general office equipment and office support technology and systems including on-line systems to enter data and generate reports, desktop database maintenance, and use of electronic voice mail.
  • Ability to exercise good judgment while maintaining confidentiality, integrity, and discretion in performance of all duties.
  • Strong organizational, written, and oral communication skills.
  • Experience maintaining and balancing budgets, and successfully completing projects that require basic business math.
  • Ability to use or quickly learn new office support technology systems and software packages (Astra, Canvas, Oracle, SIMSR, my.SDSU, ASIR, and Omni CMS).
  • College degree preferred.
  • Experience working in an academic setting with both students and faculty is preferred.

Compensation and Benefits
Starting salary upon appointment is not expected to exceed $3,820 per month.
Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

CSU Classification Salary Range: $3,680 - $5,783 per month.
