Description of primary duties and responsibilities:
Primary Purpose of the Organizational Unit:
The Department of Residence Life is responsible for coordinating the renovation, maintenance and management of several categories of facilities, all designed to provide on campus housing for over 1600 students. The department has an administrative unit that orchestrates daily operations, student services, financial records, personnel matters, facility enhancement, safety and emergency management. Residence Life personnel provide customer service twenty-four hours a day.
Primary Purpose of the Position:
This position reports to the Director of Residence Life and is primarily responsible for front desk and housing operations support. Major duties include a high degree of public contact, providing customer service to students, parents, vendors and university staff. Administrative duties include account billing, inventory management, appointment management, and overseeing front office operations. This role works in concert with other units to promote the on campus living experience.
Description of Work Continued:
Administrative Services/Front Desk Operations – 30%:
Serves as the Front Office Manager for the Department of Residence Life.
Provides customers and callers with a high level of customer service.
Assists in communicating department information to campus constituents, students and staff as needed. Assists with data management and assessment materials.
Schedules appointments and manages department calendar.
Maintains appropriate department files for inventory and supplies.
Attends meetings, takes notes, transcribes, and composes minutes of meetings.
Housing Operation – 30%:
Provides support to and works closely with the student housing applications and assignments team.
Assists with student account billing and conference housing rental group billing
Ensure all housing invoice requests are completed in a timely manner.
Run reports on and/or summarize occupancy history.
Track and assign damage billing fees to individual students or to groups.
Budget Administration – 30%:
Submit purchase requisitions and invoices on behalf of the department.
Maintain invoice and expenditure logs.
Enter budget revisions as necessary.
Monitor and prepare expenditure reports
Submit department expense reports.
Commitment to Department Objectives – 10%:
Expected to participate in major department initiatives such as Resident Assistant/Residence Hall Association Process, Student Housing Application Recruitment, New Student Orientation/First Steps, Open House, Smooth Move and other department sponsored events.
Minimum Education and Experience Requirements:
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Knowledge skills and abilities:
Communication-Verbal – Responds to questions/issues that deviate from standard operating procedures by determining and consulting appropriate resources such as policies, manuals or other staff. Responds to requests for program and procedural information. Contacts service recipients, vendors, or clients to provide or obtain information. Schedules and coordinates.
Communication-Written – Composes written communication with guidance using standard formats. Composes correspondence involving program or operational procedures appointments, meetings and events independently from general instructions or brief summaries.
Office Technology – Selects, understands and fully applies features of a variety of software programs, machines or office equipment that will produce the desired results.
Work Coordination – Plans and facilitates the support activities of an office or work unit; coordinates with others to complete tasks. May serve as an office coordinator for a work unit.
Problem Solving – Assesses and may resolve unprecedented problems that require research and review of policy and procedures. Applies judgment for problem resolutions based on delegated authority from supervisor.
Knowledge-Program – Understands programs and services to apply this knowledge in problem-solving and responding to most questions and inquiries. Uses program knowledge to interface with other offices and organizations.
Preferred Qualifications:
Associate degree or higher; Experience in a university setting or professional equivalent; Experience working with Housing Software Systems; Experience with financial requisitioning software. Experience working with client records or confidential data.
