Position Highlights The Department of Neuroscience seeks to hire an Administrative Support Assistant to join our administrative and business team. The successful candidate will be responsible for administrative support, travel coordination, calendaring, and event planning. Strong organizational skills, excellent verbal and written communications and the ability to perform in a fast-changing environment are expected. We are seeking someone with initiative, resourcefulness, sound judgment, and ability to distinguish priorities and work independently or in a group with minimal supervision.

Candidates must be proficient with the Microsoft Office Suite. We will train a qualified candidate to work with Zoom, and with University financial transaction and database management systems.

Please note: This position will be performed in-person at the University of Arizona Main Campus, Monday-Friday during regular University business hours.

Duties & Responsibilities
  • Manages calendars, provides administrative support for the administrative operations manager, department head, and senior faculty.
  • Facilitates on-boarding/orientation of new employees, including issuing keys & setting up required training.
  • Event planning and coordination of department events, including seminars, business meetings, conferences, and workshops to include but not limited to arranging logistics, hotel accommodations, university, conference/banquet rooms, catering, coordination of speaker presentations, agendas and minutes, itineraries, lodging and travel arrangements, create/distribute notices.
  • Coordinates business travel activity and completes necessary transactions for faculty, research staff, graduate students, and administrators (travel authorizations, travel advance, and reimbursement reports).
  • Supports the faculty annual review process as well as the promotion & tenure cycle and dossier review and submission. Serves as the UA Faculty Portfolio system lead. Coordinates with College Faculty Affairs team.
  • Updates  the department web site, creating and updating content to keep the web site relevant & accurate. Maintains and manages departmental listservs. 

Knowledge, Skills & Abilities

  • Proficiency with Microsoft Office Suite particularly Word, Excel & PowerPoint
  • Proficiency with Zoom
  • Understanding of UA Faculty Portfolio (formerly UAVitae)
  • Understanding of UA Travel & Reimbursement policies
Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Experience with the Microsoft Office Suite particularly Outlook, Calendar, Word & PowerPoint.
