The Tickle College of Engineering (TCE) has an innovative and collaborative advising team focused on undergraduate student success, supporting transition to college life, and each student’s undergraduate Volunteer journey. The TCE has professional academic advisors in every major to collaborate with faculty mentors toward the retention and graduation of undergraduate Engineering students. This is a non-exempt, 12-month, full time, non-tenure track staff position that provides an exciting opportunity to be a part of UT’s Advising strategic plan that integrates academic and career advising with self-exploration, leadership, and experience learning.

Reporting to the Director, this position provides direct support to the Director, Associate Director, advising staff, and students. This position is the first contact for all incoming office visitors and staff from 8:00 a.m. to 5:00 p.m. Monday through Friday. The Administrative Specialist provides advanced reception duties and program information for students, university staff, external constituents, and campus visitors as well as general administrative support for the operation of all internal advising office functions.  This support also includes training and supervising student workers, coordinating any new hire paperwork with TCE human resources, coordinating, tracking, and processing travel requests and reimbursement for advisors, and supporting search committee activities and new initiatives as it is needed for the Dean or Associate Dean of Academic and Student Affairs related to advising. The role also schedules appointments for students with the appropriate office staff, takes inventory of office supplies and promotional materials, as well as ordering supplies. This role also utilizes and assists with trouble shooting technical problems with advising software (Navigate/ SalesForce, Banner, DARS) and enters General Education/Volunteer Core petitions, informs students of petition decision, programs degree audits (DARS) to reflect approvals, maintains electronic records, and escalates any unusual problems or concerns to the Director.

 



Qualifications

 

Required Education and Experience:

High School Diploma or Ged and a minimum of 1-3 years of office experience.

Job Skills:

• Ability to work independently and as a member of a team

• Ability to take initiative and pro-actively recognize time sensitive tasks

• Excellent written and verbal communication skills

• Must be able to multi-task

• Proficient in Microsoft Office, especially Excel

• Ability to interact with a diverse group of individuals

• Good customer service skills

• Flexible and adaptable, especially with new technologies and office processes

• Strong understanding of confidential issues and FERPA guidelines

• Dependable to be present for scheduled office hours

• Working knowledge of Navigate/SalesForce, Banner, DARS

 

Preferred Education and Experience:

•Bachelor’s degree or certification in a field related to the position duties

• Advanced knowledge of Navigate/SalesForce

•CAP certification

•Advanced competency in Excel

•Experience working with parents and students
