The Department of Epidemiology is seeking an Administrative Specialist who will provide high-level administrative support to the Chair's Office. This position will support multiple facets of the Chair's Office and will require an individual who can balance competing priorities and independently manage their time across multiple projects. The Administrative Specialist must possess significant organizational, communication, and process management skills. Work priorities are set by and organized around the needs of the Chair's Office.

Schedule: M-F 8:30-5:00 Hybrid (3 days/week on-site)


Specific Duties & Responsibilities

  • Assist in the planning and execution of Chair's Office events and weekly seminars.
  • Prepare PowerPoints and briefings for the Chair in advance of faculty, staff and other meetings, and ensure that appropriate arrangements have been made for the meetings.
  • Prepare and edit correspondence for the Chair's Office.
  • Assist in updating and executing the department's comprehensive communications plan.
  • Assist in managing and developing content for departmental social media accounts.
  • Support data collection to help support Chair's Office projects and initiatives.
  • Assist in the preparing and reporting of data to Academic Affairs for CEPH reaccreditation, ASPPH, and other requests.
  • Administer the annual adjunct faculty survey and summarize findings for the Administrative Manager and Vice Chair for Faculty.
  • Provide support to the faculty search and faculty onboarding processes.
  • Work with the Administrative Manager to execute initiatives and manage projects on behalf of the Chair.
  • Provide support to the Department Faculty Appointments & Promotions Committee in the form of collecting/following up on materials, drafting letters, and submitting materials to Academic Affairs.
  • Assist in documenting department processes and procedures and review on an annual basis.
  • Work with other members of the Chair's Office to ensure tasks are completed in a timely and professional manner.
  • Recommend new processes/procedures to maximize workflow.
  • Provide backup administrative support to other members of the Chair's Office.
  • Provide other administrative support, as assigned.


Additional Knowledge, Skills & Abilities

  • Experience with project management and meeting/event planning.
  • Strong virtual/hybrid meeting management skills and strong knowledge of Zoom.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency with Microsoft PowerPoint, Word, Excel, and Outlook.
  • Ability to handle confidential matters and sensitive information appropriately.

Minimum Qualifications
  • Bachelor's Degree.
  • Five years in providing high level expertise.
  • Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: $53,300 - $93,500 Annually
