Summary of Job Duties:

Job Duties and Responsibilities
The job duties and responsibilities include the following:
• Assist with the management of fiscal accounts, which include accounting, record keeping, budget transfers, purchase orders, and hiring of staff and student workers utilizing the Workday platform.
• Manage and execute travel and meeting arrangements including virtual webinars, conferences, etc., for the VCEMSS, Assistant VC for Student Engagement and Success, and the Director of the Lions program in a timely and proactive manner. Assist other LIONS program and Student Success Center staff with the same.
• Maintain a status list of all projects assigned to the Vice Chancellor to ensure deadlines are met.
• Maintain knowledge of university procedures including purchasing and travel. Provide LIONS Program and Student Success Center staff with updated information on policy and procedural changes.
• Serve as a liaison with Human Resources, Accounts Payable, the Procurement Office, and the Registrar’s Office;
• Order, maintain, inventory, and organize office supplies and equipment;
• Schedule rooms and oversee reservations;
• Assist as needed in the implementation of large-scale and recurring campus-wide events (Student Recruitment and Orientation Days, Lion Fever Day, special day celebrations, LIONS program College Knowledge workshops, etc.);
• Performs other duties as assigned.

Qualifications:

Required Education and/or Experience

  • The formal education equivalent of a high school diploma
  • One - to three years of experience in a specialized or a related field applicable to work performed.

Preferred Education and/or Experience

  • One year of specialized training in business management, business education, or a related field;
  • Knowledge of state, federal, and university rules, regulations, and procedures.
  • Experience with UAPB’s ERP and student information systems, hiring, purchasing, travel, and related policies, and procedures.  
  • Previous experience in a college or university setting, preferably in student services, enrollment management, or related areas.

The Administrative Specialist III must possess the following:

  • Ability to work collaboratively within an intergenerational diverse team of staff, faculty, students, and the public.
  • Proficient Knowledge skills, and experience with the Microsoft Office suite, including the ability to create and edit Word documents, spreadsheets, and power points;
  • Excellent communication, interpersonal, and customer service skills;
  • Ability to work with little supervision on designated duties;
  • Experience with or the ability to quickly learn and navigate a variety of Enterprise Resource Planning (ERP) systems, such as Colleague and Workday, and train other administrative assistants and staff on how to use them;
  • Proficient use of office equipment such as computers, copiers, scanners, etc.

Salary Information:

$30,000-$35,000
