Summary of Job Duties:

The Administrative Specialist I works under the supervision of the Director of Admissions and is responsible for providing clerical support to supervisory and professional staff.
SUMMARY OF DUTIES:
• Works cooperatively with campus faculty, staff, and students to fulfill the Mission of the College. Contributes to student success through the delivery of quality customer service in all aspects of admissions and recruitment services.
• Answers phone and greets students/visitors promptly in a courteous and friendly manner. Provides guidance to prospective and current students concerning admissions requirements, processes, forms, etc.
• Serves as primary point person for campus postal services and prepares outgoing mail daily. Manages bulk postal operations and stays up-to-date on policies and practices within postal services
• Monitors the ADM email account and manages communications by responding or forwarding appropriately. Maintains the admissions calendar, organizes campus tours and various appointments as directed by the Director. Alerts campus via email of upcoming campus tours/visitors. Updates the Admissions Office digital signage as needed. Monitors PROSPECT file for accuracy and duplicate records monthly.
• Identifies scholarship opportunities for prospective students. Makes Academic Scholarship awards as directed.
• Scans, indexes, and manages admissions documents in to the College’s imaging system.
• Stays current and informed on important dates, events, degrees offered, admissions requirements for students, and personnel changes at the college
• Monitors student workers to ensure data entry duties are performed in an acceptable manner.
• Performs other duties as assigned.

Qualifications:

MINIMUM QUALIFICATIONS

  • The formal education equivalent of a high school diploma.

Other job-related education and/or experience may be substituted for all or part of these basic requirements upon recommendation and approval by the Chancellor.

PREFERRED QUALIFICATIONS

  • One year of specialized training in business management, business education, or a related field and/or one year of clerical experience.
