Position Summary Information


General Information
The Principal Giving team in University Advancement is seeking a highly organized and detail-oriented individual to join the Principal Giving team as a part-time Administrative Specialist to assist in smooth and timely operation of our daily business activities. This position will require excellent communication skills, confidentiality, strong attention to detail, ability to learn new databases, previous experience with Advance or other CRM platforms, and the ability to manage multiple priorities effectively.
The Administrative Specialist will report to the Program Coordinator and will be part of a small team that supports our principal giving fundraisers in developing philanthropic partnerships with JMU’s most capable prospective donors.
Duties and Responsibilities
Responsibilities will be varied and include the following as directed by the Program Coordinator and AVP for Principal Giving:
  • Process Chrome River travel reimbursements
  • Schedule rental cars through Motor Pool
  • Manage office supplies inventory and place orders when necessary
  • Plan, order, and prepare stewardship items for donors
  • Look up and provide information from the donor database to colleagues as requested
  • Update database and records with requested information and details
  • Draft and edit donor correspondence and donor reports
  • Conduct research and gather information as requested
  • Provide support in attending and recording notes from Principal Giving Strategy and Staff meetings
  • Assist in the preparation of customized proposals, giving reports and other documents for donors
  • Assist with planning/preparation for donor events such as lunches/receptions with students, campus meetings
  • Be available to assist as needed before, during, and after donor events (set up, greeting, sending invites etc.)

Qualifications
Required:
  • Proven experience in an administrative role
  • Proficient in using office software such as Microsoft Office Suite (Work, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to handle sensitive and confidential information with integrity
  • Strong problem-solving skills and the ability to work independently as well as a cohesive member of a team
  • Flexibility to adapt to changing priorities and deadlines

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.
The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
