Job Summary
Working under the supervision of the Associate Dean, this position supports faculty, staff and students by coordinating planned College of Dentistry events such as White Coat and Hooding ceremonies, Scholarship Luncheons, Awards Banquets, ASDA Day and Orientation. Logistical planning includes meals, presenters, equipment, and materials. The event coordinator will arrange venues and/or vendors for events and negotiate contracts and rate agreements in accordance with budget parameters. The event coordinator will also provide on-site coordination for both in-person and virtual events, troubleshoots issues as they arise, manage participant list, and maintain event related records in accordance with University, department and College of Dentistry guidelines. Proficient with virtual platform helpful.
Event responsibilities also include reviewing event related invoices for accuracy and submitting necessary items for payment processing. In addition to event planning, this position will also produce various publications for the college, such as the Student Handbook, Student Directory, and programs for the White Coat and Hooding ceremonies. Other duties will include arranging photographs for incoming students and senior pictures and composites. The event coordinator will also be responsible for supply orders, processing Payment Request Documents, deposits through SAP and room reservations. Periodically, the event coordinator will assist with Alumni and Continuing Education events.
