Job Summary | This recruitment will be used to fill one full-time Administrative Program Assistant position for the Access & Lock department within Facilities Services at Oregon State University (OSU). This position supports the Access & Lock department within Facilities Services. The position incumbent is responsible for maintenance of key access and logging records. They will also provide associated program customer service to colleagues, clients, and vendors. This position tracks lock and key changes, and ensure requests comply with current Oregon State University (OSU) Key Policy. This position works with customers to find best solutions to their security requests by referring them to University policy Key Shop policy and standards and by referring them to the Key Shop Manager. Facilities Services recognizes the importance of learning and research both in and out of the classroom and supports the concept of education as an individual as well as a community experience. Our primary focus is to provide top level service to OSU students, Staff, Researchers, Visitors, and the General Public. Key Responsibilities | 30% Record Keeping & Data Management

10% Other Duties as Assigned Any administrative responsibilities include but are not limited to becoming familiar with all construction standards, standard operating procedures, policies and practices set forth for Facilities Services, follow all business rules, standard operating procedures, and administrative practices for work management duties using the current CMMS system. This position supports essential functions of campus operations, and the incumbent may be expected to report to work during inclement weather, emergency and other University work curtailments or closures. The incumbent will be contacted by their direct supervisor or unit leadership daily for extended University delays or closures to determine if they are required to report to work. |
What We Require | Three years of office experience which included two years at full performance level and experience generating documents; and Lead work responsibility or coordination of office procedures. |
What You Will Need |
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months. This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030. |
