Primary Duties and
Responsibilities:
 

The primary purpose of this position is to assist the Associate Dean of Program Delivery and Student Support in the day-to-day operation of the Massey College of Business.

  • Provide staff and office support for the associate dean, to include organizational, informational and communication needs to faculty, staff, students, and business leaders in a timely and professional manner.
  • Serves as a primary point of contact and liaison between the MCB, students, faculty, other University departments and external constituencies on a range of day-to-day issues.
  • For Undergraduate and graduate students: Performs triage duties helping direct students to the appropriate resource. Works with students to solve a variety of matriculation process issues. Manages and maintains the Massey College of Business (undergraduate and graduate) online portal for students.
  • For Faculty: Serve as a primary point of contact and liaison between the MCB, students, faculty, other University departments, and external constituencies on a range of day-to-day undergraduate and graduate issues. Manage administrative situations and inquiries, as appropriate. Screens and directs telephone calls.
  • Organizes meetings and other special events throughout academic year.
  • Work closely with students and faculty to coordinate the academic advising for undergraduate majors in the Professional BBA Degree Program and Prison Program by assigning faculty advisors, auditing student files and use of Degree Works for “progress toward graduation” issues.
  • Select and supervise undergraduate student worker(s) and graduate assistants.; Select, schedule, and supervise test proctors as needed.
  • Oversees mid-term and final grades are submitted by all undergraduate and graduate business faculty on time.
  • Keeps records of each syllabus, textbook, and office hours on file for each course offered each semester.
  • Screen and evaluate incoming and outgoing correspondence and prepare responses as appropriate.
  • Maintain and update UG and Graduate MCB Student handbook and MCB Faculty handbook online in the student and faculty portals.
  • Works with the associate dean to prepare and produce reports from Sedona, Banner, ARGOS, Qualtrics, and other third-party software.
  • Monitors undergraduate and graduate adjunct faculty applications through Belmont Be You.
  • Maintains current file on each adjunct faculty, distributes textbooks/teaching materials to adjunct faculty.
  • Assist with both undergraduate and graduate new student orientation.
  • Creates orientation survey for incoming students and advising survey for current students.
  • Monitor’s classrooms, offices, and other areas for proper mechanical, electrical, technological, and HVAC operational order and liaise with Facilities Management Services (FMS) or IT or Campus Security to address issues.
  • Monitors space availability for the entire Massey Business Center.
  • Organize Graduate Study Abroad (MGT 6350) International Trips; includes distribution and collection of all required forms; arranging airfare; working with faculty member and outside vendors on itinerary and ground arrangements.

  • Must be able to schedule the dean’s appointments effectively, receive visitors cordially, schedule meetings efficiently, prepare correspondence and recognize grammatical errors accurately.
  • Must be able to analyze incoming memos, submissions, and reports to determine their significance and plan their distribution and response.
  • Must have the ability to review and summarize miscellaneous reports concerning student, staff, faculty, and administrative data and summarize the information concisely.
  • Must exhibit proficient use of a PC with demonstrated working knowledge of the following computer software applications: Microsoft Word (using mail merge, etc.), Excel (interpreting data sheets, developing reports, etc.), and PowerPoint. Must be able to learn and use administrative software programs (e.g., SCT Banner, PeopleAdmin, MS Access).
   
Required Education Bachelor's degree required Equivalent experience: 5+ years' administrative support in an academic or other related area.
   
Required Experience Must have a proven track record of accomplishment and success in the following areas: customer service, communication, organization, planning/strategizing, and some prior work experience in an academic setting, including academic advising.
