Job Summary/Basic Functions
The Administrative Professional II will be responsible for performing routine clerical and administrative functions, such as answering phones, responding to emails, drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to current and prospective students. Additionally, there is need for budgeting assistance, procard allocation, financial record keeping, maintaining paper in the copiers and making copies, keeping inventory and ordering office supplies as needed.
The Administrative Professional II needs to be able to use EKU’s Slate, Jaggaer, Courseleaf/CLASS, WEBTMA, and LMS systems to perform other critical tasks. Important examples include providing student overrides, scheduling GRD classes for graduate students, entering courses and updating schedules, collecting GEN ED data from courses, creating paperless contracts for part-time faculty, full-time faculty overloads and entering graduate assistants into labs, entering faculty workload data, purchase requests, and building maintenance and key requests, among others.
Minimum Qualifications
Education: Certification or graduation from a four (4) year college or university.
Experience: Three years of progressively responsible clerical, secretarial and/ or administrative support is required.

- 50% - Provides Office Management to Department of Biological Sciences - Manages, triages and directs incoming phone calls and emails • Greets visitors in warm and professional manner • Clarifies the situation by asking open-ended questions and restating need to insure understanding • Provides and disseminates information and services to constituents as required • Ensures timely responses to all email inquiries -Serves as reception for office walk-ins • Field questions from students and all other office visitors • Oversee make-up exams (when available) - (Essential)
- 20% - -Schedule appointments for Chair and Associate Chair -Manage mail (pick up, distribution, outgoing mail, etc.) -Complete computer entry as required • Student overrides, scheduling of GRD classes, course scheduling and updates, etc.) • Footprints entry for building maintenance -Manage office supplies and general copying -Complete General Education assessments • Copy and distribute instrument • Collate and organize responses - (Essential)
- 30% - Supports the efficient and effective operations of the department - Public relations • Create and oversee departmental presence on social media • Update and maintain SCIBD TV monitor content • Create recruiting materials (posters, pamphlets, give-aways, etc.) - Personnel processing • Generate contracts for part-time instructors and faculty overloads • Generate postings for hiring student workers • Follow-through on HR process to complete hiring • Manage student-workers (work assignments, time approval) • Track student worker expenditures • Assist with grant-related hiring - Informs Supervisor of all non-routine situations and concerns - Networks and completes professional development activities to enhance knowledge, skills, and abilities - Attends meetings, training, and other events as requested - Provides backup coverage and assistance to other employees as needed or requested - Offers to assist others in the department to effectively handle workload - Acts in compliance with contracts, laws, regulations, and University policies, procedures and standards - Completes special projects and other duties as assigned - (Essential)
