Responsibilities:
The Administrative Officer is the sole administrator overseeing the administrative function of the Department of Cultures, Societies and Global Studies (CSGS) and its sub-programs, including the African-American Studies Program, Latino, Latin American and Caribbean Studies Program, Global Asian Studies, the combined major in History, Culture and Law, and the combined program in Health, Humanities and Society. The Administrative Officer will plan and execute all Department and program events. This includes at minimum two highly-visible major events series each year. The Administrative Officer will handle all public relations and publicity, and must have a basic capability around graphic design. The Administrative Officer will maintain and audit the Department and program budgets, including yearly budget preparation, and process departmental financial transactions including invoices, reimbursements and corporate card reconciliations. Participation in university-wide trainings and staying informed of new financial processes and policies is essential.
The Administrative Officer is the key administrative point of contact for Accounts Payable, Human Resources, Facilities, and the CSSH Office of the Dean. The Administrative Officer will initiate all department-level personnel transactions, including the hiring of part-time faculty. The Administrative Officer keeps meticulous personnel data records as well as records on sabbaticals, tenure eligibility, faculty merit evaluations, curriculum files, and student evaluations. The Administrative Officer must adhere carefully to all university and college guidelines and policies related to human resources. The Administrative Officer will maintain both the department and center websites; prepare communications including e-mail, social media, publications, and marketing materials. They will be the main source of information for department faculty, disseminating key information to faculty and collecting information in return.
In addition to these duties, the Administrative Officer provides general administrative management and support to the Chair and program directors, as well as all faculty. This includes assisting Department faculty with projects and providing support to faculty through the tenure, promotion, and merit processed. They will assist the Chair with hiring and faculty searches and maintain Department calendar. The Admin Officer will supervise the Administrative Coordinator in CSGS. The Administrative Officer will hire and supervise 3 full-time co-op students every semester. The Administrative Officer will hire, schedule and supervise work-study students for CSGS to ensure front desk coverage and manage room scheduling for the Department conference rooms. They will maintain office assignment records for the Department spaces and coordinate office moves as needed. They will maintain the Department technology and order equipment, textbooks and other supplies as needed. The Administrative Officer meets with the Department Chair and program directors to discuss curriculum, hiring and student needs. Occasional evening work may be required.
Qualifications:

  • Bachelor's degree required, Master's preferred, with 2 - 5 years of progressively responsible administrative support experience in a fast-paced and service-oriented environment or relative combination of education and experience required.
  • Ability to work in a flexible and innovative environment with an expanding role and shifting responsibilities.
  • Strong interpersonal and written communication skills (including very strong writing and proofreading skills) required.
  • High degree of diplomacy, customer service and organizational skills required.
  • Demonstrated ability to handle multiple tasks, set priorities, respond to last minute requests, solve problems, act with discretion, adapt to change, and maintain professional demeanor at all times. Willingness to be pro-active, take initiative and ownership.
  • Ability to work independently and as part of a team.
  • Sound judgment and ability to deal effectively with matters of a highly visible and confidential nature is essential.
  • High degree of proficiency with MS Office products including Word, Excel, Outlook, and PowerPoint required.
  • Experience with web design, budgeting, social media and database management, including Access, as well as experience in higher education, a plus.
  • Ability to maintain accessible files and manage multiple events, programs and projects simultaneously.
  • Must have a good eye for graphics.
  • Ability to work effectively with a diverse population are essential.
