Job Overview

The Administrative Officer serves as a critical resource to the Department of Spanish and Portuguese by facilitating seamless day-to-day operations of the department and providing full administrative support to the Chair and faculty of the department.

They exercise full discretion in the execution of matters that are essential to the operations of a large and demanding academic department and serve as a back-up to the Business Manager in their absence.

Understanding the cyclical nature of the work, they take initiative in providing academic and administrative support within a complex unit and in managing the student worker activities with minimal supervision. 

Work Interactions

Reporting to the Department Chairs, the Administrative Officer assumes substantial independent management of the day-to-day operations of the department.

In order to achieve this, the Administrative Specialist works closely with graduate and undergraduate students, with faculty in the Department, and with staff from Departments across the University.

Additionally, they are responsible for hiring and supervising student assistants throughout the academic year; and plays an essential role in ensuring that all office operations comply with University Policies and that student assistants are effective in assisting Departmental Faculty and Staff.  

Qualifications

  • Bachelor’s degree
  • At least 1 to 2 years of experience in an office environment - preferably in an academic setting
  • Experience in academic schedule management
  • Excellent organizational, communication, and interpersonal skills
  • Flexibility and ability to prioritize, multi-task, and show attention to detail
  • Strong MS Office suite skills.
  • Familiarity with website management programs
  • Willingness and availability to  occasionally work outside normal business hours (Mon – Fri,  9 to 5)

Preferred qualifications

  • Familiarity with Workday
  • A working knowledge of Spanish and/or Portuguese
