Job Summary:

This position is located in the METRICS Center, which provides technical assistance to School-Based Mental Health Provider training programs nationwide. Nearly 300 training programs will have access to technical assistance from METRICS related to best practices in recruiting, training, and retaining mental health professionals in K-12 educational settings. The position will support METRICS operations and assist the Project Director in fiscal oversight and in processing expenditures. This role will also support scheduling, communication between METRICS staff and grantees (among other consumers of METRICS content), and coordination with coaches and other individuals working to develop resources for the center. Experience with managing email lists and basic website maintenance is preferred.
Under the general supervision of the METRICS Director, the Administrative Manager functions as the primary contact person for the METRICS Technical Assistance Center and provides critical administrative support. This detail-oriented position requires excellent administrative, organization, and communication (oral, written, and electronic) skills and computer proficiency. It requires considerable professionalism, confidentiality, independent initiative, sound judgment, analytic ability, and problem-solving skills in a high-paced multi-tasking environment. The role may include working with project leadership to prepare reports and monitor budgets, as well as make recommendations for improved efficiency.

Responsibilities:
Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.
  • 10% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • 10% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • 5% May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • 25% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • 15% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • 10% May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • 5% Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
  • 10% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 10% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures

-Strong administrative, organizational, oral and written communication, and interpersonal skills
-Excellent computer skills including familiarity with Microsoft Office Suite, Adobe Acrobat, and experience with software databases
-Demonstrated commitment to provide a high level of customer service and ability to project a positive, welcoming, and helpful demeanor when interacting with the public
-Ability to manage sensitive issues and maintain confidentiality at all times
-Ability to handle multiple tasks/responsibilities and to independently organize and coordinate diverse activities effectively
-Ability to exercise independent judgment and set own priorities to meet the demands of the position
Preferred:
-Knowledge of UW System policies and procedures related to travel, purchasing, and event management
