WHAT WE ARE LOOKING FOR
The Administrative Manager will Support the School of Nursing's Office of the Dean by providing administrative support for Business Officer and Associate Deans. The duties include assisting with faculty and staff recruitment, onboarding of personnel, database records management and reporting.
A bachelor's degree, three years of experience, and an active Christian faith are required. A bachelor's degree, five years of experience, and an active Christian faith are preferred.
Applications must be currently authorized to work in the United States on a full-time basis.
WHAT YOU WILL DO

  • Manage faculty application processes. Duties include management of Interfolio application records, receipt of official transcripts and other application materials, and setting up interviews and presentations. Liaise with the Coordinator for Academic Affairs, Provost Office, regarding faculty interviews. Work with the Business Officer to establish Interfolio application portals. Collaborate with the Financial Manager to place employment ads and export data from FileMaker Pro for payroll purposes.
  • Manage on-boarding processes. Duties include creating records in School of Nursing personnel database, arranging for ID badges, creating personnel files, ordering business cards, notifying parking services, etc. Work with Business Officer to establish Castlebranch accounts for on-boarding full and part-time faculty and request required screenings. Work with HR staff to complete I-9 forms. Work with HR staff to verify personnel setups are complete. Place new faculty and staff on School of Nursing email distribution lists and ensure access to community files in Canvas and Box. Enroll faculty in NURSYS license monitoring system. Enroll and service as liaison for USAGPAN hires and resignations. Assist Business Officer in maintain the hiring plan.
  • Manage personnel records. Duties include maintaining the School of Nursing database in FileMaker Pro to ensure active employee records are accurate and aligned to Ignite records. Conduct routine reviews of faculty Castlebranch immunization and NURSYS license certification records to ensure records comply with clinical agency guidelines. Contact faculty regarding records and or licenses that require updating. Create and manage Faculty Full-Time and Part-Time contracts. Working closely with the Office of the Provost, the Dean of the Nursing School, and the Business Officer.
  • Maintain workload records. Generate workload entries for faculty each semester. Work with Business Officer and IT Consultant regarding maintenance of the workload database and create any needed coding changes in FileMaker Pro. Export weekly workload change reports and distribute to Associate Deans, Track Coordinators, and Business Officer. Reconcile School of Nursing workload records to university workload tracking system each semester. Collaborate with Financial Manager to export faculty workload into Excel to create semester payroll. Maintain other statistical reports and data i.e., accreditation reports.
  • Provide support to the Office of the Dean faculty and staff. Duties include general administrative support such as scheduling faculty interviews, processing 15-20 Contingent Worker (Auxiliaries) forms each semester, creating personnel reports, and processing and assisting with internal and external school events as needed.
  • Perform all other duties as assigned to support Baylor's mission.
