Position Title: Administrative Manager & Assistant to the Dean of the Frank G. Zarb School of Business

Description:


Reporting to the Dean of the Frank G. Zarb School of Business, the Administrative Manager & Assistant to the Dean supports the daily operations of the Dean's office and provides executive level support to include successful interactions with a diverse group of students, faculty, staff, alumnae, advisory board members and the entire University community. This is a full-time, onsite position; work for this role is performed on campus.
Responsibilities include, but are not limited to:
  • Manages the daily operations of the Dean's office and oversees facility operations.
  • Serves as liaison to the Zarb School's Advisory Board and manages the Board's engagement with faculty and students.
  • Supports collaboration between board members and faculty, and arranges corporate visits and guest lecturers.
  • Coordinates with the Chair of the Advisory Board and the Dean to set agenda for board meetings and prepares all related materials.
  • Coordinates with the Development Office to enhance engagement with current and potential donors.
  • Manages special projects such as executive speaker series, community-based programs and additional Zarb School events.
  • Facilitates faculty and student engagement with the Executives-in-Residence.
  • Serves as primary point of contact for purchasing and procurement for Zarb School.
  • Provides executive assistant support to the Dean; coordinates the Dean's schedule and facilitates the planning of all meetings and prepares needed materials.
  • Drafts and edits correspondences for Dean's signature.
  • Coordinates and facilitates all accreditation-related matters, including planning, scheduling and communications with internal and external stakeholders.
  • Facilitates communications and meetings with Zarb School Alumnae.
  • Coordinates and facilitates meetings of the advisory boards of SMIF, SMSF and other student managed funds.
  • Supervises the selection and management of student aides and graduate assistants for the Dean's office.
  • Maintains appropriate staffing levels in the Dean's office and documents time management.
  • Monitors time records to ensure compliance with University requirements.
  • Performs other related duties as assigned.

Qualifications:

  • Bachelor's degree required.
  • At least five years of progressive experience managing projects, engaging with executives, and providing high-level administrative support.
  • At least two years working with an academic department or Dean's office, in a fast-paced, deadline driven environment.
  • Detail oriented, excellent oral and written communication skills, as well as superb project-management and problem-solving skills.
  • Ability to exercise independent judgment and discretion in handling a diverse workload.
  • Capable of handling sensitive and confidential information in a professional manner.
  • Demonstrate outstanding computer skills including proficiency with Microsoft Office applications.

Preferred Qualifications:

  • Experience with Ellucian Banner preferred.
