Summary of Duties:

We are seeking an Administrative Manager for the Spokane-based Applied Sciences Laboratory (ASL) of the Institute for Shock Physics. This position requires a high level of professionalism, strong organizational skills, and the ability to meet deadlines. The Administrative Manager is responsible for providing overall project management; managing contractual funding related to the externally funded materials development effort in the ASL; coordinating pre- and post- award activities and reporting requirements; and conducting outreach activities related to special events and technology commercialization.

  • Provide project management for a wide variety of activities related to the materials development effort at ASL, with guidance from the Principal Investigators, related to the planning for experiments; acquisition and installation of new equipment; coordination of field testing; and special events, such as project reviews and collaborative meetings.

  • Act as the primary administrative contact for both internal and external constituencies, while providing excellent service in keeping with the values and mission of the ASL. The scope of interactions includes close coordination with the Institute for Shock Physics in Pullman, WA, and external constituencies, such as federal agencies and subcontractors.

  • Manage ASL grants and contracts, including the development and oversight of proposals, budgets, expenditure control, pre- and post-award activities, and reporting.

  • Coordinate contractual matters on behalf of the ASL, such as non-disclosure agreements, service center agreements, and maintenance contracts.

  • Develop fiscal reports for the project, including developing and modifying forecasts, cost estimates, trend analyses, and compiling and analyzing data/statistics.

  • Conduct outreach or external relations activities, such as reporting on metrics related to the project, composing reports for federal sponsors, editing scientific highlights for the business community, and creating materials for meetings and events, including promotional materials and web site content.

  • Manage business development activities to meet the ASL’s technology transfer and commercialization objectives.

  • Perform procurement activities, including creating purchasing requisitions and ensuring compliance with policies and procedures based on current funding requirements.


Required Qualifications:

  • Positions require a Bachelor’s Degree in a related field and four (4) years of experience directly related to the duties and responsibilities specified which has included at least one (1) year of supervisory experience. A Master’s degree in a related field may substitute for one (1) year of professional work experience. Any combination of relevant education and professional experience may be substituted for the educational requirement on a year‐for‐year basis.
  • Excellent computer skills including proficiency with Microsoft Office applications, such as Word, Excel, and PowerPoint.

  • Demonstrated experience in project planning and budget tracking with proven ability to multitask and meet deadlines.

  • Demonstrated ability to perform tasks with a high degree of accuracy and thoroughness.

  • Demonstrated ability to work collegially and collaboratively with diverse internal and external constituencies, maintain a client service focus, and to communicate effectively both orally and in writing.

  • Demonstrated capability to exercise good judgment and analytical thought processes.

  • Demonstrated record of responsible administrative support background. 

Preferred Qualifications:

  • Experience with grant and contract administration.

  • Experience working in a scientific/technical environment.

  • Demonstrated knowledge of University operations, policies, and procedures.

  • Experience in creating outreach and communication materials (web sites, brochures, social media platforms).

  • Experience in preparing for and planning meetings and special events.

Monthly Salary: $5,833.34 - $6,912.69 | In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position. Successful candidates typically begin up to mid-point of the salary range. This is a temporary position in which the appointment is made on an annual basis. Subsequent renewals are subject to performance appraisal, mutual consent, and available funding. Long-term, multi-year research funding is expected.
