The Administrative Coordinator is responsible for providing complex administrative activities for the Advanced Professional Nursing Practice & Leadership Department Chair and department faculty. This role will involve management and administrative support for the department budget, council meetings, course scheduling and textbooks, travel activities, etc.

Minimum Qualifications
Bachelor’s degree and 6 years related experience in business management, public administration, or administrative services; or equivalency.
Preferred Qualifications
Master’s degree and 4 years related experience in business management, public administration, or administrative services.
Knowledge/Skills/Abilities
Knowledge of office management. Expert computer skills with Microsoft Office programs. Skills in creating Excel databases. Ability to communicate effectively orally and in writing with faculty, staff, students and the general public. Ability to establish and maintain effective working relationships. Ability to exercise discretion in interpreting and applying established policies and procedures. Ability to understand and carry out complex oral and written instructions. Ability to set priorities and manage details independently.

Job Duty
Manages, prioritizes, and coordinates the Department Chair calendar to include preparation/provision of all information and materials for briefing on meetings and events; attends meetings and events as assigned. Manages all calls for the Department Chair from faculty, staff, students, parents, outside constituents, and the public. Responsible for composing and processing written documentation and general correspondence and reports. Manages office files for the department.

Responsible for scheduling and management of DNP/MSN/CGS courses in Banner; University Workload System; and College of Nursing CENTRAL database in consultation with the Department Chair and Associate Dean for Academic Affairs. Serves in an advisory capacity regarding issues, concerns, and ongoing management.

Assists with databases, files and correspondence related to faculty workload for Advanced Professional Nursing Practice & Leadership. Maintains database for faculty academic, grant, and service productivity. Manages faculty evaluation process to include the preparation & maintenance of confidential files, annual faculty evaluations and reviews. Coordinates Department Chair files and meetings for faculty reviews. Works with Department Chair to gather evaluation data relevant to faculty evaluations. Schedules meetings with faculty related to faculty evaluations.

Manages all aspects of domestic and foreign travel arrangements for the Department Chair to include travel arrangements, accommodations, meetings, reimbursement, etc. Prepares and processes pre and post travel documents for all faculty and students in the Advanced Professional Nursing Practice & Leadership department, including the College of Nursing Internal Travel Request form, USC Travel Authorization Form and USC Travel Reimbursement Voucher. Processes PeopleSoft advances as needed. Networks with conference sites to establish PeopleSoft supplier on-boarding for accounts payable.

Assists Department Chair in maintaining department budget and database. Responsible for ordering, processing, and reconciliation of department expenses (i.e., lab coats, textbooks, travel, etc.). Prepares monthly visa charge forms for purchasing card allocations and submits to the College of Nursing Business Director. Process PeopleSoft payment requests and purchase requisitions for procurement of goods and services. Networks with businesses/manufacturers to establish PeopleSoft supplier on-boarding for accounts payable. Works with the CON business office and human resources to accomplish needs of the department related to budget.

Manages faculty development opportunities to include writing clubs, mentoring groups, seminars. Work with internal and external consultants to provide seminars and faculty education according to planned agenda of the department to include scheduling consultants, booking travel, payment of honorariums, and evaluations of seminars. Additionally, arranging infrastructure including scheduling, location, and any food or drinks needed for seminars or educational sessions.

Provides administrative support for the DNP/MSN/CGS Council and Practice Council meetings to include preparation of agendas, recording and archiving of minutes and other historical documents, and distribution of final minutes; preparation of curricular proposals and facilitating progression of curricular proposals throughout the approval process.

Coordinates Nursing textbook adoption and assists department faculty in meeting University per semester ordering deadlines to ensure compliance with the Higher Education Opportunity Act (HEOA). Requests desk copies for instructor use and/or guides instructor through the process when they must request a desk copy directly. Maintains working relationships with textbook publishing representatives. Serves as the college liaison to the USC Bookstore.
