The Office of Access & Opportunity is excited to announce that we are recruiting for an Administrative Coordinator.
The Administrative Coordinator in the Office of Access & Opportunity coordinates complex administrative, business management and/or support activities. Performs or supervises the performance of activities related to fiscal management, personnel management, procurement, supply services, auxiliary services, etc. Develops and monitors compliance with annual budgets; consults with program personnel regarding the availability of funds and the preparation of funding requests. Plans, implements and coordinates special projects or programs; prepares detailed program reports. Formulates and administers administrative policies and procedures. Provides training in administrative/management practices and procedures.
Minimum Qualifications
Bachelor’s degree and 1 year of work experience that is directly related to the area of employment, or high school diploma and 5 years work experience that is directly related to the area of employment; or equivalency. Relevant experience in business management, public administration or administrative services required.
Preferred Qualifications
Knowledge/Skills/Abilities
Knowledge of federal and state laws, policies, procedures, rules and regulations related to the specific administrative/management function. Knowledge of governmental fiscal and personnel procedures, practices and policies. Knowledge of modern office practices, procedures and equipment. Ability to coordinate diverse administrative/management functions. Ability to establish and maintain effective working relationships. Ability to plan, organize and supervise the work of subordinate personnel. Ability to communicate effectively.

Business Affairs:

Coordinates business management activities for the Office of Diversity, Equity and Inclusion and for the departments and organizations that partner with the Office of Diversity, Equity and Inclusion. Duties include payment requests, submission of purchase requisitions, travel authorizations and reimbursements and procurement of breakroom and office supplies. Utilizes the finance intranet and HCM payroll distribution to create monthly and yearly budget projections. Processes check requests via Education Foundations to offset expenses. Submits journal vouchers through PeopleSoft.

Partnership Support:

Provide administrative coordinative support for the Bridge to Faculty program and Council of Academic Diversity Officers (CADO). Provide administrative assistance such as correspondence, scheduling of meetings, and scheduling itineraries of participants. Other duties will include, but are not limited to: completing reimbursements, managing technical equipment, maintaining office equipment, i.e., service calls, etc. Assist with the collection of data and preparation for annual reporting. Assist with the hosting of Bridge to Faculty and CADO seminars.

Event Planning:

Plans and coordinates all Office of Diversity, Equity and Inclusion events including, but not limited to, the ODEI staff retreat, the annual MLK Symposium, the annual CADO retreat and CADO monthly meeting and training sessions, The Women of Color Conference, and the annual Social Justice Awards Ceremony. Responsible for scheduling, invitation process, venue reservations, arranging parking, catering, technology needs, etc.

Calendar Management:

Maintains the calendars of the Vice President and Associate Vice President on a day-to-day basis. Coordinates space, scheduling and provides technology and project support for the Office of Diversity, Equity and Inclusion and internal/external departments who collaborate with the Office of Diversity, Equity and Inclusion.

Customer Service:
Serves as the main point of contact for outside and university guests to the Office of Diversity, Equity and Inclusion. Greets and assist guests with scheduled meetings. Answers the main ODEI phone telephone line, responding to inquiries of visitors and callers. Reserves conference rooms for scheduled meetings and events. Distributes incoming mail. Ensures office and breakroom supplies are available. Provides other general administrative support activities for the Office Diversity, Equity and Inclusion.

Plans meetings and events, schedules appointments, coordinates and completes special assignments. Conducts confidential research and complex special projects for the Office of Access and Opportunity.
