Salary Information
Department Summary
Rec Sports provides programs and services to the university community. The goal is to provide a positive environment to assist those individuals in exploring and learning about recreation and fitness activities, in order to enhance a better quality of life and to become active members of the community. We provide various programs including intramural sports, informal recreation, sport clubs, fitness, special events, outdoor pursuits and aquatics.
Position Overview
The position is responsible for providing support to Rec Sports team members with epars, epros, onboarding student staff, travel, cash handling, and other department and univeristy procedures. Provides excellent customer service to Pohl Rec Center members.

Minimum Qualifications
Bachelor’s Degree and three years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities
• Exceptional customer service skills.
• Advanced written communication skills.
• Advanced Microsoft Office skills.
• Knowledge of accounting/budgeting procedures.
• Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Ability to conceptualize, plan and organize multiple programs and assignments effectively.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications: 
* Experience in processing purchase orders, pcard reconciliation, cash handling and e-pars. 
* Experience with basic budget reconciliation, Cognos and Marketplace. 
* Experience with UNT processes and procedures.

8:00am-5:00pm with some nights and weekends.

Job Duties


o
Office Management – Manages the day-to-day operations of the Rec Sports office, including opening and closing each day, ensuring that office supplies are maintained, office equipment is in working order, mail is sent and received, phones are answered in a timely manner and all customers are greeted in prompt, friendly manner. Hire, train, lead, & evaluate student office workers.
o
Purchasing – Assists with purchasing equipment for professional staff members, processes purchase orders, reconciles monthly p-card charges for the department, processes IDTs/facility rental payments and approves invoices for payment. Stays up to date with university procedures and guidelines related to purchasing.
o
Administration – Responsible for all administrative functions including daily errands, sales and cash handling, running reports. Maintains proficiency with point-of-sale software and makes sales as necessary. Stays up to date on all rec sports programs and activities. Tracks and reconciles leave accrual balances monthly and submits report to director. Submits work orders as needed.
o
Accounting – Provides support to the budget officer by completing credit card reconciliations, UBIT report, utility report, payroll deduction tracking and reconciling, maintaining daily cash logs and tracking and reconciling department funds.
o
Travel –Prepares and processes travel for the sport club program and full time staff members.
o
Cash Handling – Responsible for the daily reconciliation and depositing of funds received. Ensures that the daily cash funds are prepared and that cash drawers have the proper cash beginning balance each day. Responsible for staying up to date and following university and departmental policies as they relate to cash handling.
o
Staff Administration – Responsible for assisting the professional staff in the hiring process by sending offer letters, ensuring I-9 compliance, maintaining required student records and the overall onboarding process. Monitors the hourly and full-time staff payroll to ensure that employees are paid on time and assists with the manual entry of time when required. Prepares e-pars for all staff and processes them in a timely manner. Responsible for staying up do date with policies related to student and full-time employees.
o
Record Retention – Maintains certification as Records Management Representative, renewing training certification as required by the Office of Institutional Records Management. Ensures all documents kept in Rec Sports comply with standards and policies as set forth by state and university annually.
o
Communication – Communicates in a clear and concise manner that helps the listener avoid confusion. Interacts with others in a way that builds relationships. Responses to verbal and written responses are provided in a prompt and timely manner. Attends monthly A-Team and HR Liaison meetings. Communicates with external departments.
