Job Summary

Key Responsibilities:
Center Administration and Operations:

  • Prepare reports or analyses of operational activities, financial and other resource data.
  • Complete submission and tracking of facilities requests and work orders.
  • Supports administration of space management of facilities include room reservations, tech setup and building access
  • Participate in the development and revision of standard operating procedures and guidelines.
  • Assess and recommend changes to maintain compliance with federal and state requirements and internal policies.
  • Meeting/Event Coordination:plan and/or support center-related meetings and events, including weekly, monthly, annual, and special events.
Osher Center Public Education Classes Administrative Support:
  • Project management: Coordinate virtual and in-person classes, including communication with teachers, students, and program directors.
  • Administrative management: Refine administrative policies, schedule classes, and manage class evaluations.
  • Registration and finance: Manage student registration, payments, cancellations, and waitlist processes.
  • Teacher support: Assist with IT/tech issues, scheduling changes, and classroom setup.
  • Facilities: Schedule classroom reservations, set up classrooms, and maintain supplies
  • Communications: Send timely emails, calendar events, and marketing materials.
Clinical Programs - Administrative support
  • Program admin support: fields potential questions, distributes authorized award letters, and tracks usage. Updates data to reflect approval status.
  • Meets regularly with Director and Associate Director of Clinical Programs to manage administrative needs.
  • Administrative support for clinical programs (e.g., calendar notices, administrative help in planning for case conference, wellness activities, clinical education, and resources.)
  • Administrative support for Director of Clinical Programs with calendaring tasks and scheduling clinic director meetings

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.


Required Qualifications

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff and students/patients verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of common organization-specific and other computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Ability to identify and adhere to established protocols, as well as identify needs to improve or establish new protocols to improve operational effectiveness and objectives.

Preferred Qualifications

  • Proficiency in Spanish
  • Bachelor’s degree in relevant field and 1-2 years of work experience in clinical, administrative, or program operations or an equivalent combination of education and experience.
